The Executive Assistant will manage calendars, communications, and travel arrangements to support senior leadership. They will also prepare reports, presentations, and serve as a primary liaison between the executive and stakeholders.
Work Type: Full-time.
Schedule: US Business Hours.
Location: 100% Remote.
We are seeking a highly organized and proactive Executive Assistant to support senior leadership with a wide range of administrative and operational tasks. The ideal candidate is resourceful, detail-oriented, and capable of handling confidential information with absolute discretion. This role is critical in helping executives stay focused on strategic priorities by seamlessly managing calendars, communications, and daily workflows.
Calendar & Schedule Management: Manage calendars, schedule meetings, and coordinate appointments across multiple time zones.
Communication & Correspondence: Draft, edit, and manage email correspondence and other communications on behalf of the executive.
Document Preparation: Prepare presentations, reports, meeting agendas, and follow-ups.
Project Support: Assist with project management tasks and ensure all operational deadlines are met.
Research & Logistics: Conduct light research and organize relevant information for decision-making. Handle travel arrangements and complex itineraries as needed.
Stakeholder Liaison: Serve as the primary liaison between the executive and internal/external stakeholders.
Record Keeping: Maintain accurate records and organized filing systems (digital and/or physical).
Experience: Proven experience as an Executive Assistant, Administrative Assistant, or in a similar high-level support role.
Technical Proficiency: High proficiency in Microsoft Office or Google Workspace (Docs, Sheets, Slides, Calendar, etc.).
Communication Skills: Excellent verbal and written communication abilities.
Core Competencies: Strong organizational and time management skills. High level of professionalism and strict adherence to confidentiality. Ability to manage multiple priorities efficiently in a fast-paced, remote environment.
Remote Infrastructure: Must have a dedicated, noise-free home office setup equipped with a reliable, high-speed internet connection and a backup power source.
Prior experience directly supporting C-level executives or business owners.
Familiarity with project management tools (e.g., Asana, ClickUp, Trello).
Comfortable handling event planning, complex logistics, and vendor coordination.
A highly resourceful and proactive approach to problem-solving.
Performance-based raises.
Minimum 5 days off annually (paid or unpaid based on client terms).
