Role Overview
As Resource Manager, you sit within the PMO function of beqom’s Professional Services (PS) organisation and own how we plan, deploy, and optimise our PS workforce. You are the custodian of our Professional Services Automation (PSA) platform, Kantata, and of the data, models, and processes that sit on top of it.
Your work ensures the right people, with the right skills, are on the right customer engagements at the right time, while giving leadership a clear, real-time view of capacity, utilisation, and the revenue our resourcing decisions generate.
This is a central operational role: you translate the sales pipeline and delivery backlog into a workforce plan, keep the staffing model accurate, and turn resourcing and delivery data into reporting that is trusted and used across beqom.
What you'll be doing
PSA Platform Administration (Kantata)
- Act as the system owner and administrator of Kantata , covering configuration, user and role management, workflows, templates, permissions, and data integrity.
- Define and enforce standards for how projects, tasks, roles, rates, and time are set up and maintained in the tool so data is consistent and reliable.
- Own timesheet and time-tracking governance, ensuring timely and accurate submission and approval across the PS team.
- Manage integrations and data flows between Kantata and adjacent systems, CRM (HubSpot), finance (Sage Intacct), and HR systems, working with Operations and system owners to keep them accurate.
- Provide day-to-day support, training, and enablement to PS users and act as the escalation point for tool issues and enhancement requests.
Skills & Capability Management
- Build and maintain an accurate, up-to-date skills matrix covering all PS resources, including skills, certifications, product and domain expertise, languages, and proficiency levels.
- Keep resource profiles current in Kantata so that assignments can be matched to verified skills and availability.
- Identify capability gaps against current and forecast demand and feed these into hiring, partner/subcontractor, and training plans.
Workforce & Capacity Planning
- Build and maintain the beqom PS staffing model, translating the sales pipeline and delivery backlog into forecast resource demand.
- Run rolling capacity vs. demand analysis to surface shortfalls and over-capacity before they affect delivery, and recommend actions, hire, reskill, reallocate, or engage partners.
- Monitor and forecast billable utilisation, minimising unbilled time by proactively redeploying resources to engagements, internal projects, or training.
- Partner with PS leadership and Talent Acquisition to inform hiring and reskilling plans that keep capacity aligned to forecast demand.
Resource Assignment & Deployment
- Assign resources to customer engagements based on skills, availability, development goals, and cost, balancing customer needs with utilisation targets.
- Run the resourcing process end to end, managing incoming demand, resolving conflicting requests, and keeping assignments and forecasts current in Kantata.
- Manage pre-assignments, confirmations, and changes, giving delivery and account teams clear visibility of who is committed where and when.
- Act as a key contributor to PS margin improvement, track the drivers of margin (utilisation, staffing mix, blended internal/partner rates, and cost) and surface risks and opportunities to PS leadership.
- Model the margin impact of resourcing options and use it to inform assignment and capacity decisions.
Partner & Extended Workforce Management
- Treat partners, subcontractors, and other external resources as part of the managed capacity pool, maintaining their profiles, skills, and availability in Kantata alongside internal resources.
- Work with the wider Delivery team to decide when to deploy partner capacity versus internal resources, and design blended staffing that balances cost, margin, skills, and delivery risk.
- Coordinate onboarding and offboarding of partner resources in the PSA tool, ensuring correct roles, cost rates, and bill rates are set up before assignment.
- Manage partner demand end to end, from requesting resources against a statement of work through to assignment, time capture, and invoicing.
- Ensure partner time is captured and approved in Kantata so that partner-delivered work is billed and recognised correctly, and reconcile partner cost and invoices with Finance.
- Track partner utilisation, cost, and margin contribution, and feed partner capacity and performance data into workforce planning and reporting.
Finance, Billing & Revenue Operations
- Work with Finance to ensure PS can accurately book, forecast, and recognise revenue through effective use of Kantata.
- Maintain rate cards, cost rates, and project financial settings in the PSA tool so that margin, billing, and revenue data are correct.
- Support month-end close, revenue recognition, and billing accuracy by keeping time, cost, and project data clean and reconciled between Kantata and Sage Intacct.
- Provide resourcing and utilisation inputs to PS financial forecasting, backlog, and revenue-planning cycles.
Reporting, Analytics & Dashboards
- Produce operational reporting and dashboards covering utilisation, capacity, staffing, backlog, margin, and delivery KPIs, for use across PS, Finance, and executive leadership.
- Maintain a single, trusted source of resourcing and delivery metrics and define the KPIs and definitions behind them.
- Turn data into insight and clear recommendations for leadership, not just reports.
Process & Continuous Improvement
- Own and continuously improve resource management processes, standards, and governance within the PMO.
- Champion better adoption and value from Kantata, rolling out new features and ways of working.
- Contribute to wider PMO and PS operational initiatives as the practice scales.
Skills & Experience
What you'll bring
- Proven experience in resource management, workforce and capacity planning, or PS operations, ideally within a SaaS, consulting, or technology Professional Services organisation.
- Hands-on experience administering or acting as a power user of a PSA tool, Kantata (Mavenlink) strongly preferred; experience with a comparable PSA tool is valued.
- Strong analytical and data skills, with advanced Excel or Google Sheets and confidence building models, dashboards, and reporting.
- Strong commercial acumen with a clear understanding of the levers of Professional Services margin, utilisation, leverage, rates, cost, and mix, along with a track record of using data to improve them.
- Excellent stakeholder management and communication skills in English, with the ability to influence delivery, finance, and leadership stakeholders.
- Highly organised, able to balance multiple competing priorities and resolve resourcing conflicts calmly and fairly.
- A proactive, problem-solving mindset with strong attention to data quality and process discipline.
- Experience managing a blended workforce of internal and partner/subcontractor resources, including partner onboarding, rates, and cost reconciliation.
Bonus points if you have
- Experience implementing or optimising a PSA tool, Kantata implementation experience is a strong plus.
- Familiarity with HubSpot and Sage Intacct and their integration with PSA tooling.
- Experience working in an enterprise SaaS or HRIS implementation environment.
- Knowledge of BI or reporting tools such as Power BI, Tableau, or Kantata Insights.
