Job Description:
At Job Duck, we are seeking a bilingual Executive Assistant who will play a key role in supporting a busy legal practice focused on homeowners' association matters. This position is ideal for someone who enjoys being the first point of contact for clients, managing communications, and ensuring day to day operations run smoothly. The successful candidate will help create an exceptional client experience by handling calls, emails, correspondence, and follow up activities with professionalism and care. This role offers the opportunity to make a direct impact by freeing up valuable time for legal professionals to focus on their core work. • Compensation Range: 1060 USD to 1150 USD
Responsibilities include, but are not limited to:
- Assist with various administrative tasks that help improve operational efficiency
- Coordinate and support daily administrative operations
- Follow up with clients regarding general matters and payment related inquiries
- Serve as a gatekeeper by managing communications and directing inquiries appropriately
- Ensure a high quality customer experience during all client interactions
- Maintain organized records and communications within firm systems
- Draft simple letters and administrative documents as needed
- Prepare and send physical collection letters and electronic correspondence
- Respond to emails in a timely and professional manner
- Answer incoming phone calls and provide professional assistance to clients and contacts
Requirements:
• Schedule: Monday through Friday, 9:00 AM to 5:00 PM EST
• Experience in administrative support, customer service, reception, or executive assistance preferred
• Strong written and verbal communication skills
• Ability to manage multiple priorities and stay organized in a fast paced environment
• Comfortable handling client communications with professionalism and empathy
• Proactive problem solver who is comfortable asking questions when clarification is needed
• Ability to work independently while maintaining high attention to detail
