We are seeking a detail-oriented and proactive Sales Operations Coordinator to support the operational engine behind a growing business development organization.
This role partners closely with the Head of Business Development to maintain CRM accuracy, improve sales processes, support reporting, manage sales documentation, and handle key administrative workflows that keep the sales team operating efficiently.
The ideal candidate is highly organized, comfortable working in HubSpot, has strong written communication skills, and enjoys creating structure in fast-moving environments. This is not a sales role — it is an internal operations role focused on enabling the sales team through better systems, processes, and execution.

CRM Management & Optimization
Maintain HubSpot CRM accuracy, including pipeline stages, deal properties, workflows, and sales data.
Monitor CRM activity and identify data hygiene issues before they impact reporting or decision-making.
Support updates to CRM fields, properties, and workflows as the sales organization evolves.
Ensure sales team members maintain accurate information within the CRM.
Proactively identify inconsistencies and recommend improvements to CRM processes.
Sales Operations & Process Documentation
Document sales processes, workflows, and standard operating procedures.
Turn verbal instructions, decisions, and evolving processes into clear, repeatable documentation.
Maintain and update SOPs as the organization grows.
Help create structure around sales operations and ensure processes are followed consistently.
Identify opportunities to improve efficiency across sales workflows.
Sales Reporting & Data Support
Support sales reporting by ensuring dashboards and CRM data remain accurate.
Monitor pipeline data quality and identify missing or incorrect information.
Partner with leadership to ensure reporting accurately reflects sales activity and performance.
Maintain visibility into pipeline health and operational metrics.
Sales Collateral & Documentation Support
Update and maintain sales materials, including pitch decks, one-pagers, battlecards, and other sales documents.
Make accurate edits while preserving existing formatting, structure, and speaker notes.
Collaborate with leadership to ensure materials remain current and aligned with messaging.
Support professional sales collateral using PowerPoint, Google Slides, Canva, or similar tools.
Administrative & Scheduling Support
Support calendar coordination and scheduling needs for sales leadership.
Assist with recurring administrative tasks that improve team efficiency.
Manage follow-ups, documentation, and operational tasks supporting business development activities.
Provide reliable operational support that reduces administrative workload for sales leadership.
Sales Communication & Content Support
Draft first-pass sales communications, including follow-up emails and outreach templates.
Support the creation and organization of sales email templates and sequences.
Maintain consistency across sales communications and materials.
Help improve the sales team's ability to communicate effectively with prospects and partners.
Experience
2+ years of experience in sales operations, CRM administration, executive assistance, sales support, or a related role.
Experience supporting sales teams in fast-paced environments.
Experience working with structured processes, documentation, and operational workflows.
Experience in healthcare, wellness, clinical technology, or B2B SaaS environments is preferred.
Experience creating or updating professional sales collateral is preferred.
Familiarity with sales processes, pipelines, and revenue operations is preferred.
Skills
Has hands-on experience using HubSpot CRM and is comfortable maintaining pipelines, deal properties, workflows, reporting dashboards, and sales data.
Demonstrates strong CRM data hygiene skills and can identify inconsistencies, missing information, and process gaps before they affect reporting.
Has strong documentation skills and can translate evolving processes into clear SOPs, workflows, and repeatable operating procedures.
Is comfortable using Google Workspace, Google Drive, PowerPoint, Google Slides, Canva, or similar tools to support sales operations and collateral updates.
Has strong written communication skills and can draft clear sales follow-ups, outreach templates, and internal documentation.
Demonstrates strong organizational and time-management skills with the ability to manage multiple priorities while maintaining accuracy.
Can work independently with clear objectives and task lists while maintaining consistent follow-through.
Understands sales pipelines, reporting, and operational workflows well enough to support a growing business development organization.
