Subconractor Operations Coordinator

Job description

Exodigo is seeking a Subconractor Operations Coordinator to build and maintain the subcontractor network behind our U.S. field operations and to keep the paperwork that makes field work possible current, accurate, and easy to find. This is a hands-on, execution-focused role for someone who is highly organized, persistent but professional in following up, and motivated by removing friction for the people in the field.

You’ll sit within our Utility Coordination team, sourcing and onboarding traffic control, utility locating, survey, and excavation subcontractors, securing the certificates of insurance, business licenses, and bonds that permits and clients require, and handling subcontractor invoicing so the coordinators can stay focused on coordination.

What You’ll Do

• Source & Onboard: Identify, evaluate, and qualify subcontractors in markets where Exodigo has active or anticipated work. Run onboarding end to end (W-9s, insurance, licenses, safety documentation, master subcontract agreements) and set vendors up in our accounting and project systems. Request, compare, and negotiate quotes and rate sheets, and maintain a current rate database so scoping and proposals can be priced quickly and consistently.
• Manage the Bench: Maintain the approved subcontractor list by region, service type, capacity, and performance history. Flag coverage gaps before they affect schedules, confirm availability with Scoping, PM, and Field Operations ahead of mobilization, and gather field feedback after each engagement to recommend vendors to keep, develop, or replace.
• Own Compliance: Handle certificates of insurance in both directions: verify subcontractor COIs against our requirements, and request COIs from our broker naming clients, owners, and agencies as certificate holders or additional insureds. Support bond requests with our surety, manage business license and contractor registration requirements by state and municipality, track every expiration, and keep a clean document repository so any team member can find a current document without asking.
• Support Utility Coordination: When a coordinator identifies what a permit, agency, or client requires, get it in hand: the COI with the correct wording, the license or registration for the jurisdiction, or the bond. Keep a reference of what each recurring agency requires so repeat submittals do not start from scratch, maintain the team’s shared trackers and templates, and serve as a trained backup for 811 design ticket submissions and other coordinator tasks during peak project loads and absences.
• Resolve Invoicing: Serve as first point of contact for subcontractor invoicing. Reconcile invoices against POs, quotes, and field-confirmed quantities, resolve discrepancies with the vendor and project team, and keep payment status visible with Finance.

Requirements

• 2 to 4 years of experience in subcontractor or vendor management, construction administration, or a comparable operations support role.
• Working familiarity with certificates of insurance, additional insured requirements, bonds, and contractor licensing, and the drive to become the team expert on them.
•  Comfort working with insurance brokers, sureties, and state and municipal licensing offices, or the ability to learn their processes quickly.
• Strong organization and attention to detail across many open items, projects, and vendors at once.
• Clear written and verbal communication skills and the persistence to follow up until items are closed.
• Proficiency with Microsoft 365 or Google Workspace, spreadsheets in particular, and the ability to learn new project and accounting tools.
• Ability to work independently and prioritize in a fast-moving, remote-first environment.

Nice to Have

• Experience in the utility, civil construction, engineering services, or field services industries.
• Familiarity with how traffic control, utility locating, or survey subcontractors price their work.
• Exposure to construction accounting workflows (POs, invoice matching) or ERP and AP systems.
• Exposure to permit document requirements from DOTs, municipalities, or railroads, or to 811 design ticket submissions.

Location: Remote with a preference on the East Coast
