Turner Ross Germain isn’t your typical law firm. Based in Marietta, Georgia, this tight-knit practice brings decades of legal experience to the table, combining the precision of litigation with the care of a client-first approach. With deep roots in personal injury and local government law, including land use, zoning, and appellate work, the firm is well-positioned for a new chapter of growth and transformation.

Founded by three seasoned attorneys, Turner Ross Germain is now led by managing partners Valerie Ross and Meredith Germain, who have practiced together since 2011 and bring over 50 years of combined legal expertise. In the process of transforming their systems, brand, and team structure, they are creating a strong foundation for future success and encouraging driven individuals to grow alongside them.

We are seeking a Global Intake Specialist to own the personal injury intake process from the first prospective client inquiry through file setup. In this hands-on, individual contributor role, you will promptly respond to new leads, conduct thorough intake interviews, gather accident, injury, treatment, and incident details, document information accurately in CasePeer, and help convert qualified prospective clients into signed clients. Your work will ensure new inquiries are handled with urgency, precision, and follow-through.

What you’ll do:

  • Intake Management: Handle inbound intake calls and conduct the full intake process from initial call through file setup, helping ensure prospective clients receive a smooth and efficient onboarding experience.
  • Client Conversion: Take ownership of moving qualified prospective clients through the engagement process, including timely follow-up, answering intake-related questions, securing signed engagement documents, and creating a smooth onboarding experience for newly retained clients.
  • Data Entry: Accurately enter intake information into CasePeer, ensuring all details are recorded properly and case files remain organized and complete.
  • Initial Documentation: Prepare letters of representation and related initial documents using firm templates, incorporate attorney feedback when needed, send finalized documents promptly, request police reports or other initial incident documentation, and track outstanding items through completion.
  • Intake Follow-Through: Proactively track new intake inquiries, outstanding information, signed engagement documents, and initial file setup items to ensure no prospective client or next step falls through the cracks.
  • Initial Supporting Documentation: Identify whether prospective clients have already received medical treatment, gather hospital, urgent care, and provider information, request initial records when needed, obtain police reports or other incident documentation, and ensure supporting documents are included in the initial intake file.
  • Client Communication: Maintain clear, timely, and effective communication with prospective and newly retained clients during the intake process via phone, text, and digital platforms, including explaining next steps and gathering required information.
  • Collaboration: Work closely with other staff members using Microsoft Teams to ensure streamlined operations and effective team coordination.

What we’re looking for:

  • Experience Required: 3–5 years of direct intake experience with a U.S.-based personal injury law firm. Candidates must have handled intake as a core responsibility, including responding to prospective clients, conducting intake interviews, gathering case details, following up on leads, documenting intake information, and helping convert qualified prospects into signed clients.
  • Urgency & Ownership: Understands that new personal injury leads are time-sensitive and must take priority. Able to respond promptly, follow through independently, and move prospective clients forward without constant reminders or supervision.
  • Bilingual Proficiency: Fluent in both English and Spanish, with excellent written and verbal communication skills and the ability to communicate confidently with clients and team members.
  • Technical Skills: Comfortable using intake/case tracking software, VoIP systems, and Microsoft Teams in a remote environment. CasePeer experience is helpful, but candidates must at minimum be able to learn and accurately maintain intake records in CasePeer.
  • Organizational Skills: Strong ability to manage multiple tasks and priorities in a fast-paced environment while maintaining efficiency and responsiveness.
  • Detail-Oriented: Exceptional attention to detail, particularly in data entry and document handling, ensuring accuracy and consistency across case files.
  • Remote Work Readiness & Reliability: Ability to work U.S. hours (11:00 AM–7:00 PM EST), with reliable access to necessary technology and demonstrated success working independently in a remote, structured work setting.

Why you should work here:

  • Professional Growth: Become part of a growing firm that values initiative and gives you the opportunity to deepen your expertise in personal injury intake, client communication, lead conversion, and accurate file setup.
  • Collaborative Environment: Be part of a supportive team culture with regular communication, clear expectations, and close collaboration across the firm.
  • Impactful Work: Make a meaningful contribution to the client experience by helping ensure prospective clients are contacted quickly, intake information is completed accurately, and qualified leads move efficiently into signed engagements.
  • Defined Intake Process: Step into a role with clear intake expectations, established templates, CasePeer workflows, and a strong focus on timely follow-through, accurate documentation, and converting qualified prospective clients.

Compensation:

  • Competitive Compensation: Compensation will be based on experience, intake expertise, and the value the candidate brings to the role.

Join Turner Ross Germain, LLC and help strengthen the first stage of the client experience by ensuring prospective clients are contacted quickly, intake information is captured accurately, qualified leads are moved toward signed engagement, and new matters are set up with urgency and care.
