Manage the founder’s inbox, calendar, priorities, follow-ups, and meeting actions, while tracking projects and outstanding items to keep work moving. Edit investor presentations, monitor Slack, handle forwarded calls, and coordinate personal administrative tasks.
Our client designs and sells footwear for people with walking challenges. The company has scaled to $6 million in revenue over the last two years and is now preparing to raise a Series A. The founder and CEO currently leads marketing, logistics, operations, finance, and fundraising himself, so the business moves quickly and priorities shift often.
This is the founder's first Executive Assistant. With the company growing fast and a new baby on the way, he needs a proactive, highly organized right hand who takes ownership of his inbox, calendar, and follow-ups, so nothing slips and he can focus on what matters most. The ideal candidate anticipates needs rather than waiting for instructions, communicates in flawless English, and is comfortable working alongside AI tools. Experience supporting a founder in a startup environment, where processes are still being built, is a strong plus.
Triage the inbox each morning before the founder starts work, pre-drafting replies so he can review, approve, and send.
Prepare a daily morning brief summarizing what came in overnight, with a recommended way to handle each item.
Own the calendar end to end: scheduling, rescheduling, and protecting time for top priorities.
Keep the founder focused on what matters by prioritizing tasks and flagging deadlines ahead of time.
Review meeting transcripts (Granola) and capture follow-up actions in Asana.
Maintain a log of outstanding items other people owe the founder, and chase them until they are done.
Track progress on active projects and keep work moving without the founder needing to check in.
Update and adapt Keynote presentations, including tailoring the Series A investor deck for specific investors.
Handle non-private calls forwarded from the founder's cell phone.
Support personal admin, such as booking doctor appointments and coordinating home contractors.
Monitor Slack for items that need the founder's attention, as agreed during onboarding.
Minimum 3–4 years of Executive Assistant experience; experience supporting a founder or CEO in a startup is a strong plus.
Flawless written and spoken English: neutral accent, highly polished emails and phone manner.
AI fluency is a must. Comfortable using an AI assistant (the founder's runs on OpenAI) to search history, draft, and work faster.
Keynote: able to edit and modify presentations. A keen eye for clean, polished design is a major bonus.
Asana for task and follow-up tracking; Slack for internal communication; Granola meeting transcripts.
Microsoft Word and Excel proficiency as a baseline.
Proactive, detail-oriented, and anticipates needs; comfortable making judgment calls and learning the founder's preferences quickly.
Discreet and trustworthy with sensitive business and personal information.
