We currently operate multiple legal entities across multiple jurisdictions across the EU, Latam, and the USA — and are looking for an experienced professional to take ownership of our Shopify, HubSpot, integrations, and related technical projects.

About the role

Our online store runs on Shopify, and our sales and customer-service processes run on HubSpot. Development and integration work is handled by external agencies and freelancers.

We are creating a dedicated internal role for one person who will own the technical side of Shopify, HubSpot, and the integrations between them, while also managing the external technical resources responsible for more complex work.

You will combine hands-on technical knowledge with strong project and vendor management skills. You should be comfortable making minor technical adjustments, configurations, troubleshooting issues, and handling routine system administration independently.

For larger or more complex configurations, automations, integrations, or development work, your role will be to understand the business and technical requirements, define the scope, prepare clear specifications, coordinate the appropriate external specialists, oversee implementation, and verify the completed work before it goes live.

You will report directly to the CEO and have clear ownership of the systems, projects, and technical coordination within your area.

What you will do

Shopify and catalogue

• Configure and maintain the store, including products, variants, prices, collections, and metafields.

• Manage bulk imports and exports and support B2B price lists and customer accounts.

• Manage apps and checkout settings, including rules for regulated products.

• Make minor configuration and technical adjustments independently where appropriate.

• Troubleshoot routine Shopify issues and identify when external technical support is required.

Integrations and automation

• Own the Shopify-HubSpot integration and ensure accurate synchronization of customers, companies, and orders.

• Understand and oversee integrations with payments, shipping, WhatsApp (Wati), and other tools through apps, APIs, webhooks, Zapier, Make, or similar technologies.

• Maintain Shopify Flow and HubSpot Workflows and make routine adjustments where appropriate.

• For more complex integrations and automations, assess requirements, define the technical scope, coordinate external specialists, and oversee implementation.

• Monitor integrations, identify errors or failed processes, and coordinate resolution where external technical support is required.

HubSpot / CRM

• Manage pipelines, deal stages, properties, tags, and customer tiers.

• Set up and maintain user roles, permissions, reports, and dashboards.

• Maintain data quality, including duplicate management, merges, and consistent records.

• Handle routine CRM configuration and administration independently.

• Coordinate more complex CRM changes or development work with external specialists when required.

Technical project and vendor management

• Translate business requirements into clear technical requirements and specifications.

• Assess whether a task can be handled internally or requires external technical expertise.

• Identify and coordinate external developers, agencies, freelancers, or other technical specialists.

• Obtain estimates, implementation plans, and timelines from external providers.

• Track project scope, deadlines, budgets, dependencies, and changes.

• Review and test completed work against the agreed requirements.

• Formally verify and accept deliveries before go-live.

• Ensure that external technical work is properly documented and maintainable.

Control and documentation

• Maintain documentation of systems, integrations, configurations, workflows, and access rights.

• Control administrative permissions and external vendor access.

• Monitor system performance, synchronization issues, and errors.

• Ensure that technical changes are documented and properly handed over.

• Maintain a clear overview of the Shopify, HubSpot, and broader e-commerce technology environment.

Your first 90 days

• Consolidate our HubSpot environment into one working system.

• Ensure every Shopify order, customer, and company is recorded correctly in HubSpot, with no duplicates.

• Implement market and tier tags and B2B pricing consistently across Shopify and HubSpot.

• Integrate WhatsApp (Wati) with HubSpot.

• Audit and clean the product catalogue and establish one standard for product changes.

• Map all systems, apps, and integrations and establish role-based access and documented handover.

• Review existing technical processes and external vendor arrangements and establish clear ownership, documentation, and working processes.

Requirements

We verify these requirements. Please read them carefully before applying.

• 3+ years of hands-on technical Shopify experience. You can demonstrate live stores and clearly explain your exact contribution to each.

• Experience with Shopify integrations with CRM, ERP, or third-party systems. You can explain at least one integration step by step, including the systems involved, implementation method, challenges, and outcome.

• Strong technical fluency: you can read and make basic edits to Liquid and JSON and understand metafields/metaobjects, Shopify Flow, and the Shopify app ecosystem.

• Strong project and vendor management experience: you have written technical specifications, gathered estimates, coordinated external developers or agencies, tested deliveries, managed deadlines and budgets, and overseen implementation.

• Hands-on experience with bulk catalogue operations using Matrixify or CSV.

• English B2+ with clear written and verbal communication.

• Ability to distinguish between technical work you can handle independently and work that requires specialized external expertise.

Strong advantages

• Hands-on HubSpot experience (Sales/Service Hub, pipelines, workflows, permissions).

• Shopify Plus and/or Shopify B2B.

• Experience in regulated or age-restricted e-commerce.

• Multi-market experience (US and EU).

• Russian and/or Spanish.

This role is not a fit if you are:

• A pure developer who is primarily focused on writing code and has limited project or vendor management experience.

• A pure project manager without strong, hands-on Shopify technical knowledge.

• A theme/design or marketing-focused Shopify profile without broader technical and systems experience.

• Experienced only in WordPress/WooCommerce or local CRMs, with no substantial Shopify experience.

• Someone who expects external developers to handle all technical troubleshooting and routine system administration without being able to understand or manage the underlying systems.

Benefits

• Format: Remote, full-time, contractor (B2B) agreement.

• Compensation: €2,500–€3,000 gross per month.

• Probation: 3 months.

• Working hours: 9:00 AM to 6:00 PM Madrid time (daily overlap with Spain/CET and teams in the Americas)
