Spanish/English Healthcare Virtual Assistant – Front Office, Billing & Marketing Support (Remote)

About the Role:

Snapscale is looking for a bilingual (English/Spanish) Healthcare Virtual Assistant (HVA) to support a US-based Physical Therapy practice. This role combines complete front-office patient coordination, revenue cycle/billing assistance, credentialing support, and light marketing.

The ideal candidate is a proactive, self-motivated multitasker with strong US-based healthcare support experience, capable of independently managing administrative and financial workflows while the clinical team operates remotely.

Responsibilities may include:



• Handle patient calls, secure messaging (Spruce), appointment scheduling, and recalls
• Manage and fill open schedule slots using ClassPass
• Perform insurance verifications, pre-authorizations, and prior authorization processing
• Handle medical billing, coding assistance, claims processing, payment follow-ups, and patient credit card processing
• Manage provider credentialing documentation and practice listings
• Manage the owner’s email inbox, patient intake, and administrative documentation
• Support outreach activities and create promotional materials using Canva

Requirements

• Fluency in both English and Spanish (Bilingual) is a hard requirement
• Prior experience in a US-based healthcare or medical office environment
• Extensive hands-on experience with Prompt EMR (Completion of Prompt University required prior to start)
• Experience handling insurance verifications, medical billing, and credit card processing
• Comfortable working with AI tools, Spruce messaging, and general administrative technology
• Experience creating marketing materials via Canva
• Highly organized, proactive self-starter capable of operating independently without local supervision
• Must meet work-from-home remote requirements under the SafeBase Initiative
