The Human Resources & Payroll team plays an important role in supporting our workforce by maintaining employee information, coordinating payroll activities, assisting with HR administration, and ensuring employment records are processed accurately and confidentially.
Position Overview
Reliable Security Staffing LLC is seeking a detail-oriented and dependable Remote Payroll & HR Operations Coordinator to support payroll administration and day-to-day human resources operations.
This 2-in-1 position combines payroll coordination and HR operations support. The coordinator will assist with reviewing employee time and attendance information, maintaining payroll records, updating employee information, supporting onboarding and offboarding processes, organizing HR documentation, responding to routine employee inquiries, and coordinating with HR, payroll, finance, scheduling, and operations personnel.
Because Reliable Security Staffing supports a workforce that may include security officers and other operational personnel working different locations, schedules, and shifts, accuracy in employee records, approved hours, payroll information, and HR documentation is particularly important.
This is an administrative HR/payroll position and not a security officer position.
Candidates with experience in payroll, human resources, accounting, administration, employee services, data entry, or related areas are encouraged to apply. Candidates with relevant transferable skills may also be considered.
Comprehensive training will be provided on applicable company systems, payroll procedures, HR processes, documentation standards, confidentiality requirements, and internal workflows.

Key Responsibilities
Payroll Coordination
- Assist with preparing and reviewing payroll information for assigned employees and payroll periods.
- Collect and review approved timesheets, time-and-attendance records, scheduled hours, and other payroll-related information.
- Verify payroll data for completeness and identify missing, duplicate, or inconsistent information before processing.
- Assist with entering and updating payroll-related information in approved company systems.
- Maintain accurate records of employee hours, payroll changes, authorized adjustments, and supporting documentation.
- Coordinate with supervisors, scheduling personnel, operations teams, and authorized payroll personnel to resolve routine discrepancies.
- Assist with tracking approved overtime, leave, shift-related information, or other payroll inputs when applicable.
- Support established payroll deadlines and processing schedules.
- Escalate payroll discrepancies or matters requiring authorization to the appropriate manager or payroll professional.
- Maintain confidentiality of employee compensation, banking, tax, and payroll information.
Human Resources Operations
- Maintain accurate employee records within approved HR and administrative systems.
- Assist with employee onboarding and offboarding documentation.
- Support the collection, organization, and verification of required employment documentation.
- Update employee contact information, employment status, job information, and other authorized HR records.
- Assist with maintaining personnel files and electronic HR documentation.
- Respond to routine employee questions regarding payroll procedures, HR documentation, company processes, and where to obtain additional assistance.
- Route benefits, compensation, employee-relations, or policy questions requiring specialized review to the appropriate HR representative.
- Assist HR personnel with routine administrative projects, employee communications, and workforce documentation.
Time, Attendance & Workforce Records
- Review time-and-attendance information for completeness before established payroll deadlines.
- Coordinate with authorized supervisors when time records require clarification or correction.
- Maintain organized documentation supporting approved employee hours and payroll records.
- Assist with identifying discrepancies between approved schedules, attendance records, and submitted time information.
- Track outstanding timesheet or payroll documentation and follow up through approved internal channels.
- Support accurate workforce records for employees working different shifts or assignments.
Employee Information & Data Management
- Enter, review, update, and maintain employee information in approved HR, payroll, and administrative systems.
- Verify employee records for accuracy and completeness.
- Maintain organized electronic personnel and payroll records.
- Assist with preparing routine payroll and HR reports, spreadsheets, summaries, and workforce information.
- Identify incomplete or inconsistent employee information and coordinate appropriate corrections.
- Follow established record-retention, confidentiality, privacy, and information-security procedures.
Employee Support
- Serve as an administrative point of contact for routine payroll and HR-related questions.
- Communicate professionally with employees regarding documentation, payroll schedules, timekeeping procedures, and administrative requirements.
- Help employees understand appropriate procedures for submitting timesheets, payroll information, or HR documentation.
- Document employee inquiries and actions taken when required.
- Escalate sensitive, confidential, disputed, or complex matters to authorized HR or payroll personnel.
HR & Payroll Compliance Support
- Follow established payroll, HR, confidentiality, recordkeeping, and data-protection procedures.
- Assist with maintaining documentation needed for internal reviews and authorized audits.
- Help ensure payroll and employee records are maintained according to company requirements.
- Protect sensitive employee information from unauthorized disclosure.
- Support HR and payroll personnel with documentation necessary to administer applicable employment requirements.
This position supports administrative compliance activities but does not independently make legal, tax, benefits, compensation, or employee-relations determinations unless specifically authorized and appropriately qualified.
Cross-Functional Collaboration
- Collaborate with Human Resources, payroll, finance, scheduling, security operations, and management personnel.
- Communicate payroll or employee-record discrepancies to appropriate team members.
- Assist with improving payroll and HR administrative workflows.
- Participate in team meetings, training, and process-improvement activities.
- Maintain current knowledge of assigned company policies, payroll procedures, HR processes, and administrative systems.

- Associate's or Bachelor's degree in Human Resources, Accounting, Finance, Business Administration, Payroll Administration, or a related field is preferred but not required.
- Previous experience in payroll, human resources, accounting, administrative support, employee services, workforce coordination, or data entry is beneficial.
- Experience with timekeeping, payroll, HRIS, or employee-record systems is advantageous.
- Experience within security staffing, workforce management, or another shift-based industry is beneficial but not required.
- Candidates with transferable administrative, payroll, accounting, or HR skills are encouraged to apply.
