Job Summary

 

Reporting to the Operations Manager, the Talent Acquisition & Operations Coordinator supports the day-to-day execution of JTG Consulting Group’s recruiting, onboarding, training, people operations and administrative processes. This role helps ensure employee and candidate processes are organized, timely, accurate, and consistent. This role provides essential support across Human Resources, recruiting, and day-to-day operations, helping maintain effective processes while supporting JTG’s continued growth.

 

The Talent Acquisition & Operations Coordinator will have a primary focus on recruiting and hiring coordination, including candidate sourcing and screening, interview scheduling, applicant communications, coordinating background checks, and organizing hiring documentation. The position also provides hands-on support across Human Resources and Operations, including onboarding and offboarding tasks, maintaining and tracking training records, training coordination, and compliance documentation. This role requires a high degree of trust and discretion, as the Talent Acquisition & Operations Coordinator will regularly handle highly confidential and sensitive information related to finances, employees, and business operations.


The individual in this role must be a highly organized, proactive, and detail-oriented professional who takes ownership of their work, manages competing priorities effectively, provides a positive experience for candidates and employees, and identifies opportunities to strengthen processes and improve efficiency.

Job Duties and Responsibilities  


 Recruiting & Hiring (Primary Focus)
  • Support the day-to-day recruiting and hiring process at the direction of the Operations Manager and in support of hiring managers
  • Update job postings in the HRIS based on approved job descriptions and position requirements
  • Post and maintain open positions across approved recruiting platforms and company channels
  • Review applications and resumes against established position qualifications and screening criteria
  • Conduct initial candidate video screenings using established interview guides and evaluation criteria
  • Document screening results and provide organized candidate recommendations to the hiring managers.
  • Coordinate interview scheduling, including complex calendars across multiple time zones, candidate communications, with consistent and timely follow-up throughout the interview process
  • Track interview feedback and help ensure timely progression of candidates through the hiring process in the HRIS
  • Maintain timely and professional candidate communications throughout the recruitment lifecycle
  • Coordinate pre-employment activities, including background checks, required documentation, and other approved hiring requirements
  • Prepare and route approved offer and hiring documentation as directed
  • Maintain accurate applicant and recruiting records within the HRIS and applicable systems
  • Monitor recruiting activity and assist with reporting on open positions, candidate pipelines, time-to-hire, and other recruiting metrics
  • Identify and recommend opportunities to improve recruiting workflows, administrative efficiency, and the overall candidate experience
Human Resources & People Operations
  • Coordinate employee onboarding and offboarding activities at the direction of the Operations Manager, including assigned tasks, documentation, communications, and coordination of system updates
  • Maintain accurate and organized documentation
  • Assist the Operations Manager with maintaining employee policies, handbooks, procedures, job aids, templates, and other HR documentation
  • Track completion of required employee documentation and follow up on outstanding items
  • Perform routine HRIS administrative tasks, including employee data updates, reporting, workflow monitoring, and basic troubleshooting
  • Assist with testing and implementation of HRIS workflows, automations, and system updates as directed by the Operations Manager
  • Maintain assigned HR records, required documentation, and compliance trackers
  • Help maintain a strong, organized, and compliant company culture

 

Learning & Development
  • Assign training and onboarding content within the company’s Learning Management System (LMS).
  • Build, add, and update approved courses, training materials, onboarding resources, and compliance training
  • Assign training and monitor employee completion of required learning activities
  • Maintain accurate training records and provide completion reports as requested
  • Follow up with employees and managers regarding outstanding required training
  • Coordinate training sessions, meetings, and learning initiatives as needed
  • Assist the Operations Manager with developing and maintaining onboarding materials, job aids, training resources, and internal documentation
  • Support the Operations Manager and company leadership in implementing identified employee development and training initiatives
  • Recommend opportunities to improve the organization and usability of LMS and training resources

 

Operational & Administrative Support
  • Maintain organized documentation, trackers, templates, and recurring operational processes
  • Assist with reporting and data collection related to recruiting, onboarding, training, HR administration, and other Operations functions
  • Identify administrative inefficiencies and recommend opportunities to simplify, standardize, or automate processes
  • Support implementation of approved process improvements and operational initiatives
  • Assist with and support coordination of company events
  • Assist with special projects and other Operations responsibilities as assigned by the Operations Manager and Chief Operation Officer

 

Job Qualifications

 

Education and Experience

Required:

  • Associate or Bachelor’s degree in Business Administration, Human Resources, Operations, or a related field, or equivalent relevant professional experience
  • Approximately 2+ years of experience supporting recruiting, candidate screening, or interview coordination in a healthcare organization or in healthcare consulting services
  • Demonstrated experience supporting recruiting processes, including candidate screening and interviews
  • Experience in a fast-growing environment
  • Excellent organizational, communication, and judgment skills
  • Experience coordinating multiple processes, deadlines, and stakeholders simultaneously
  • Strong written and verbal communication skills
  • Strong attention to detail and commitment to maintaining accurate records
  • Ability to handle confidential employee and candidate information with professionalism and discretion
  • Strong organizational, follow-up, and time-management skills
  • Proficiency with Microsoft Office and Microsoft 365 applications
  • Ability to learn and effectively use HR, recruiting, training, and other business systems
  • Ability to work independently within established processes while recognizing when issues require escalation
  • Experience with an HRIS, applicant tracking system (ATS), and Learning Management System (LMS)
  • Experience in a consulting, healthcare, healthcare IT, or professional services environment
  • Successful track record of building relationships
  • Local, national, and/or international travel as required

Preferred:

  • Experience with Rippling HRIS
  • Experience with Adobe Captivate
  • Experience supporting employee onboarding and offboarding
  • Experience working within a remote or distributed organization
