The Senior Recruitment Coordinator position is responsible for providing high-level administrative and coordination support in a high-volume environment, with the added expectation of executive-level polish and judgment. This position supports our client by managing the full coordination lifecycle — interview scheduling, phone screening, job posting, offer administration, and executive/stakeholder communications — while also handling the calendar management, meeting support, and documentation needs typically associated with executive assistant work. The ideal candidate is a seasoned coordinator who can operate independently, manage competing priorities, and represent the client professionally in every interaction.

Responsibilities

Recruiting Coordination

• Post jobs to various job boards and Applicant Tracking Systems
• Conduct outbound phone screens to potential candidates, both scheduled and yet to schedule
• Accurately record candidate answers and conduct interviews in a professional manner
• Schedule phone, video, and onsite interviews by coordinating with candidates and client managers
• Extend verbal and written offers of employment to qualified candidates
• Perform onboarding requests for new hires in the company portal
• Manage shared email boxes and respond to candidate and client inquiries in a timely, professional manner

Executive & Stakeholder Support

• Manage complex calendars for senior stakeholders, resolving scheduling conflicts and prioritizing competing demands
• Coordinate logistics for interviews, leadership meetings, and other high-visibility engagements (video conferencing, agendas, materials)
• Attend meetings as needed to take accurate, well-organized minutes and track follow-up items
• Draft, format, and proofread correspondence, reports, and other documentation on behalf of the client
• Serve as a polished, professional point of contact for phone calls, screening and routing as appropriate
• Handle sensitive candidate, client, and business information with a high degree of discretion

General

• Assist with other duties as needed, adapting to shifting priorities in a fast-paced environment

Qualifications

• 3+ years of experience in a recruiting coordination, administrative, or executive support role
• Prior experience supporting senior leadership or executives strongly preferred
• Minimum of a Bachelor's degree
• Proven interpersonal, organizational, written, and verbal communication skills
• Consistent professionalism and dependability
• Ability to work under pressure in a fast-paced, high-volume environment
• Ability to multi-task and problem-solve with a can-do attitude
• Strong computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook
• Familiarity with Zoom and Slack
• Demonstrated ability to apply critical thinking skills
• Ability to manage multiple tasks at once and consistently meet deadlines
• Access to a quiet work environment free from distractions, with good internet connection and a reliable mobile phone
