- Clinical Operations and Project Management
- Manage end-to-end logistics and administrative coordination for BioLegend Commercial and field teams’ clinical business opportunities. Work closely with the FAS Clinical Lead for all clinical endeavors.
- Conduct feasibility assessments, check stock and generate statements of work for commercial opportunities from an operational logistics perspective. Ensure compliance with all internal procedures is met.
- Monitor, support and ensure a healthy supply chain for clinical customers, working with Planning, Product Managers and Production to proactively prevent backorders. Escalate product shortfalls and manage critical escalations for low inventory situations.
- Acquires and maintains a clear understanding of BioLegend products utilized by clinical customers, to help build BioLegend presence in the clinical market.
- Support BioLegend FAS with their clinical opportunities by joining customer calls to advise on logistics and ordering requirements as necessary.
- Identify obstacles such as resource or operational constraints and resolve them internally through risk assessments, summarized options and proposed solutions. Evaluate unexpected deviations that may impact clinical opportunity timelines and take proactive steps to resolve those issues.
- Orchestrate cross-functional project initiatives and special handling requirements as they arise. Engage in ongoing process improvement by reviewing workflows and adjusting as necessary.
- Author, develop and maintain all SOPs for clinical processes.
- VIP Customer Relationship Coordination and Support
- Serve as the primary support point-of-contact for BioLegend FAS and their VIP customers, cGMP and key accounts. Assist with VIP customer escalations as needed.
- Expedite and escalate urgent orders, provide real-time stock availability updates.
- Handle complex logistical ordering questions and special handling requests.
- Manage customer communications regarding order status, delivery timelines, and operational issues.
- Collaborate with Business Development and Customer Service teams to develop processes for VIP and key customer administrative support and escalations.
- Author, develop and maintain all SOPs for VIP customer processes.
- Standing Orders and Forecast Coordination
- Establish and manage all standing orders for both clinical opportunities and regular customers.
- Collect and route customer-provided forecasts to appropriate Planning, Marketing teams and Product Managers for inventory planning. Host Active Alert team meetings and oversee the handling of all alerts.
- Serve as the liaison and facilitate communication between clinical customers, Commercial teams, internal groups (Supply Chain, Planning, Procurement, Customer Service, Marketing, Business Development, etc.) and all stakeholders.
- Monitor ordering trends and patterns to support clinical business development initiatives.
- Cross-Functional Leadership and Strategic Execution
- This role sits at the center of cross-functional orchestration – ensuring teams are aligned, risks are surfaced early, and timelines are maintained.
- Brings expertise in support of multi-functional efforts in process improvement, data analysis, best practices and compliance with procedures.
- Ensures that policies and procedures align with corporate vision and operational best practices.
- Manages multiple parallel workstreams, synthesizes complex information, and drives structured execution across stakeholders.
- Systems Management, Sales Data and Analysis
- Act as the subject matter expert for ERP and CRM systems related to clinical and commercial operations.
- Generate sales analysis reports and pull sales data for Commercial team members. This includes sales data for annual quote renewal discussions.
- Support FAS with data-driven insights on customer ordering patterns and quote utilization.
- Maintain data integrity and process documentation for clinical customer workflows.
- Work with SFDC and CRM teams to accurately capture clinical customers in Salesforce and manage their data effectively.
Minimum Qualifications – Education and Experience
- Bachelor’s Degree, preferably in Life Sciences, Business, Operations or a related field.
- 5+ years of experience in project management, operational excellence, customer or sales operations. Preferably within life sciences.
- 5+ years in a customer-facing role. Excellent communication and customer service skills.
- Experience in life sciences, biotechnology, or clinical research environment.
- Experience leading cross-functional teams and demonstrated project management skills.
- Proficiency in ERP/CRM systems and advanced Excel capabilities (VLOOKUPS, pivot tables, formulas, macros).
- Proficiency with project management software and workflow tools (Asana, Smartsheet, etc.).
- Strong organizational skills, meticulous attention to detail, results oriented, and ability to multitask effectively in a fast-paced environment.
- Must be a proactive, self-starter with robust work ethic and the ability to exercise good judgment.
Preferred Qualifications – Education and Experience
- PMP certification is preferred.
- Proficiency in PowerBI is preferred.
- Strong analytical skills with experience in data analysis and reporting.
The pay range for this full-time position is a salary 82,000.00 - 104,000.00 USD Annually. This range reflects the minimum and maximum target for a new hire in this position. The pay offered to the successful candidate will take into account internal equity, work location, and additional factors, including job-related skills, experience, and relevant education or training. Your recruiter can share more about the specific salary range for your preferred location during the hiring process.
Please note that base pay is only one part of our total compensation package and is determined within a range. This range allows for the successful candidate to have an opportunity to progress within the position and develop at our company. This base pay range does not take into account bonuses, equity, or other benefits which may be applicable and are dependent on the level and position offered.
