Position Overview

The Legal Assistant provides hands-on, day-to-day support to attorneys and staff, taking recurring administrative tasks off their plates so the team can focus on client work and larger projects. This is an execution-focused role: the person in this position is expected to follow established workflows and systems reliably and efficiently. Strong attention to detail, follow-through, responsiveness, accountability, and a willingness to handle repetitive administrative work are essential.

Key Responsibilities

1. Matter & Case Administration

• Professionally handle client intake.

• Draft and send engagement letters to clients for signature.

• Create and maintain legal matters in Clio and Notion.

• Create and maintain client folders in OneDrive.

• Support engagement letter follow-up and collections follow-up and tracking.

• Support the team with billing tasks.

2. Inbox & Communications

• Manage shared and individual inboxes toward an “Inbox Zero” standard by sorting, flagging, and responding to routine messages.

• Assist attorneys with scheduling new-client meetings, ensuring Partners are prepared for meetings and that meetings are scheduled within desired working hours.

3. Document & File Management

• Organize and save documents in OneDrive and Notion, following established folder and naming policies.

• Maintain document consistency and accessibility across systems.

• Coordinate with IT support, as needed, to help team members troubleshoot document and OneDrive issues.

4. LinkedIn Support

• Create lists of prospective clients using LinkedIn Navigator.

• Send LinkedIn connection requests to prospective clients from attorney LinkedIn accounts.

• Remove LinkedIn connection requests that are more than three months old.

• Schedule and publish LinkedIn posts 1–2 times per week.

5. Event & Travel Coordination

• Support conference planning logistics, including flights, hotels, and registration.

• Support law firm retreat planning logistics, including flights, hotels, agendas, and programming.

6. Website Support

• Assist with routine WordPress website updates and maintenance tasks as directed.

7. General Administrative Support

• Handle other ad hoc administrative tasks as assigned.

Qualifications

English:Fluent in English with excellent English grammar skills.

Legal Experience: 5+ years of Paralegal experience, OR a recent law school graduate with at least 2 years of experience working within a law firm.

Organization & Detail: Highly organized, detail-oriented, and reliable in executing established processes.

Administrative Execution: Comfortable with repetitive and administrative tasks while maintaining accuracy, consistency, and follow-through.

Technology: Quick to learn new technology tools and comfortable working with systems such as Clio, Notion, and OneDrive.

Communication: Strong written communication skills.

Legal Assistant — Key Requirements

Must Have

  • 5+ years of Paralegal / Legal Assistant experience, preferably in a law firm.
  • Fluent English — C1/C2, excellent grammar and written communication.
  • Experience with Client Intake & Onboarding.
  • Experience with Case/Matter Management.
  • Legal document & file management.
  • Engagement letters and client follow-up.
  • Attorney/Partner support and scheduling.
  • High attention to detail, organization and follow-through.
  • Ability to follow established processes and manage repetitive administrative tasks.
  • Strong written communication and responsiveness.
