Role Overview
This is admin with ownership.
While the broker focuses on client strategy, credit advice, lender selection, loan structuring, complex scenarios, and relationship building, you’ll own much of the workflow that keeps everything moving.
You’ll manage document collection, CRM updates, client and lender follow-ups, settlement coordination, and pipeline reporting—making sure the right things happen at the right time.
And once you’re up to speed, there’s room to grow. You can develop into lender portal uploads, application packaging, basic preliminary servicing, and lender shortlisting as your knowledge and confidence build.
Key Responsibilities
Send client document checklists and reminders.
Collect, organize, and review supporting documents for completeness.
Follow up on missing documents and information.
Maintain accurate CRM records, notes, tasks, and reminders.
Track annual client reviews and workflow activities.
Provide clients with application progress updates.
Follow up with lenders regarding valuations, conditions, and application updates.
Track loan applications and key milestones through to settlement.
Prepare weekly pipeline reports.
Coordinate settlement and post-settlement administration.
Support lender portal uploads and application packaging as capability develops.
Assist with basic preliminary servicing and lender shortlisting as capability develops.
Requirements
Required Qualifications (Must-Have):
At least 2 years of relevant experience in mortgage administration, broker support, loan processing, banking, financial services administration, client services, virtual assistance, administrative support, real estate, conveyancing, or a related field.
Experience with document collection and document management.
Experience maintaining CRM records and client information.
Experience with client and stakeholder follow-ups.
Strong workflow coordination and task-management skills.
High attention to detail and accuracy.
Ability to manage multiple priorities and follow tasks through to completion.
Ability to work independently and follow established processes.
Understanding of accurate compliance documentation and record keeping.
Preferred Qualifications (Nice-to-Have):
Australian mortgage administration or broker support experience.
Loan processing experience.
Experience with Broker Engine.
Experience with Quickli.
Experience with CRM platforms.
Experience with Microsoft Outlook, Excel and Word.
Experience using lender portals or mortgage-processing systems.
Exposure to application packaging, preliminary servicing, or lender shortlisting.
