UNDERSTANDING THE ROLE

The Temporary Operations Coordinator will provide critical day-to-day support to the West Operations team, helping ensure the smooth execution of key business functions and initiatives across the region. Reporting to the Vice President, Operations, this role will support projects and operational activities related to staffing, systems, office management, and team coordination. The ideal candidate is highly organized, detail-oriented, adaptable, and comfortable managing multiple priorities in a fast-paced environment while contributing wherever support is needed.


RESPONSIBILITIES

  • Partner directly with the Head of Operations on day-to-day and project-based operational needs  
  • Act as a flexible resource, shifting priorities between departments within the Operations function (which includes Executive Partnerships, Office Management, Systems, and Staffing) as business needs evolve 
  • Support system implementations, updates, or migrations 
  • Assist with office operations, including vendor coordination, orders and delivery coordination, supply management, and workspace logistics  
  • Support meetings with the Head of Operations through meeting preparation/agendas, capturing next steps, and managing follow up  
  • Help coordinate staffing-related tasks such as onboarding logistics, scheduling, or maintaining personnel records  
  • Perform accurate and timely data entry across various platforms and spreadsheets  
  • Organize documentation, SOPs, and internal trackers  
  • Assist with onboarding logistics, scheduling, and maintaining personnel records 
  • Provide logistical support for the upcoming Regional Team retreat, including vendor communication and project management 
  • Assist with research, contact management/clean up, list review and building 
  • Support the preparation of lead meetings and sales meetings 
  • Coordinate and support the planning and execution of recruitment events  
  • Working with other regions to collect existing SOPs, documents, etc. 

QUALIFICATIONS 

  • 2+ years of experience in an operations, administrative, or coordinator role  
  • Strong project management skills  
  • Hands-on experience with HubSpot and Monday.com strongly preferred  
  • Strong organizational skills and high attention to detail, especially with data entry accuracy  
  • Comfortable working with spreadsheets (Excel/Google Sheets)  
  • Excellent written and verbal communication  
  • Ability to manage multiple priorities across different departments and work independently with minimal oversight  
  • A flexible, "no task too small" mindset — willing to help wherever needed  
  • Prior experience in a temp, contract, or fast-changing environment is a plus
