The Program Coordinator will manage the execution of educational, mentoring, and specialty programs, including facilitating virtual sessions and maintaining program databases. Program Coordinator
Our motivated team is seeking a remote Program Coordinator who will play a critical role in ensuring the successful execution of MAVEN Project’s educational, mentoring, and specialty programs. The program coordinator will be responsible for coordinating and facilitating the delivery of telehealth-based educational sessions, mentorship programs, and accreditation-related initiatives. This position requires strong organizational skills, attention to detail, and the ability to manage program documentation, compliance tracking, and accreditation requirements.
Detailed Responsibilities
Program Coordination and Execution:
- Oversee the scheduling, coordination, and execution of educational sessions, mentoring pairings, and other specialty programming.
- Act as the primary liaison for physician volunteers and clinic partners, ensuring seamless communication and engagement.
- Moderate virtual educational sessions, ensuring smooth facilitation, managing participant engagement, and addressing technical or logistical issues as need.
- Maintain program databases, track participant engagement, and generate reports to support strategic decision-making.
- Monitor program workflows, troubleshoot operational issues, and propose process improvements to enhance efficiency.
- Assist in tracking and reporting key program metrics to assess impact and effectiveness.
Accreditation and Compliance Support:
- Maintain and organize accreditation-related documentation for ACCME and other relevant accrediting bodies.
- Ensure compliance with CME accreditation standards, policies, and reporting requirements.
- Assist in the preparation and submission of ACCME reports and other accreditation materials.
- Work closely with the Director of Programs to support accreditation-related quality assurance and continuous improvement initiatives.
- Stay up to date with accreditation trends, best practices, and changes in regulatory requirements.
Stakeholder Engagement & Support:
- Facilitate relationships with volunteer physicians, clinic staff, and internal teams to ensure a collaborative and responsive program environment.
- Provide guidance and technical support to stakeholders using telehealth and LMS platforms.
- Collect feedback from volunteers and partners to drive continuous improvement and innovation in program delivery.
- Technology and Data Management:
- Support data collection and analysis related to program outcomes, performance metrics, and key deliverables.
- Troubleshoot technology-related issues to ensure smooth virtual programming and provide basic IT support for volunteers and clinic partners.

Qualifications and Experience:
- Bachelor’s degree in a relevant field (e.g. public health, healthcare administration, education, business, or programs) or have equivalent work experience.
- 2+ years of experience in program coordination, project management, healthcare administration, accreditation, telehealth, or a related field.
- Experience with ACCME accreditation processes, CME compliance, or other accreditation management is strongly preferred.
- Experience with Microsoft Office Suite and CRM platforms (Salesforce preferred).
- Background in healthcare, telemedicine, CME, or programming is a plus.
- Familiarity with performance improvement methodologies and data analysis is an advantage.
