Job Summary:

The People Operations Executive Specialist serves as a strategic partner to the Chief People Officer (CPO) and the broader People Leadership Team. This role is responsible for driving execution of key People initiatives, coordinating cross-functional projects, supporting executive priorities, and ensuring operational excellence across the People function.

The ideal candidate combines executive support capabilities with strong project management, communication, and organizational skills. This individual serves as the central coordinator for People Operations initiatives, helping ensure projects stay on track, stakeholders remain informed, and deliverables are completed on time. This role functions as a blend of Executive Assistant, Project Manager, and People Operations Chief of Staff, enabling the People leadership team to focus on organizational effectiveness, employee experience, and business impact.

 

Essential Functions:

People Operations Project Leadership

  • Coordinate and manage People Operations projects from planning through execution.
  • Track project milestones, action items, deadlines, dependencies, and stakeholder accountability.
  • Support enterprise initiatives, including:
    • Organizational design and restructuring
    • Compensation and annual merit cycles
    • Employee engagement surveys
    • Performance management programs
    • Leadership development initiatives
    • Talent review and succession planning
    • HR technology and process improvement projects
    • Employee experience initiatives
    • Policy, compliance, and governance programs
  • Facilitate project meetings, maintain project plans, and provide status updates to leadership.
  • Identify risks, roadblocks, and dependencies and escalate as appropriate.

Executive Partnership & Leadership Support

  • Prepare meeting agendas, presentations, briefing materials, and follow-up communications.
  • Coordinate People Leadership Team meetings, offsites, strategic planning sessions, and executive workshops.
  • Serve as a trusted liaison between the CPO and leaders across the organization.
  • Ensure follow-through on leadership commitments and action items.

People Operations Support

  • Coordinate annual People initiatives including compensation planning, bonus administration, engagement surveys, talent reviews, and leadership planning activities.
  • Support workforce planning, reporting, and executive presentations.
  • Maintain organizational charts and key People Operations documentation.
  • Support special projects for the CPO and People Leadership Team.

Data, Reporting & Presentations

  • Develop executive-level reports, scorecards, dashboards, and presentations.
  • Compile and analyze workforce metrics including headcount, hiring, turnover, engagement, productivity, and organizational effectiveness.
  • Prepare materials for Executive Leadership Team, Board meetings, and business reviews.
  • Ensure consistency, accuracy, and professionalism across People reporting and communications.

Operational Excellence

  • Develop and maintain project management tools, templates, and tracking systems.
  • Drive accountability through proactive follow-up on commitments and project deliverables.
  • Coordinate vendors, contracts, invoices, budgets, and administrative processes related to People programs.
  • Continuously identify opportunities to improve efficiency, communication, and execution across the People function.
  • Establish and maintain standard operating procedures and best practices for key People processes.

 

Required Skills/Abilities/Competencies:

  • Exceptional project management and organizational skills.
  • Strong executive presence and professional judgment.
  • Advanced proficiency in Microsoft 365, including Outlook, Teams, Excel, Word, and PowerPoint.
  • Outstanding written and verbal communication skills.
  • Strong analytical, problem-solving, and critical-thinking capabilities.
  • Ability to influence outcomes and drive execution without direct authority.
  • High level of discretion, professionalism, and confidentiality.
  • Strong attention to detail and commitment to follow-through.
  • Ability to thrive in a fast-paced, high-growth environment.

 

Education and Experience:

  • 5+ years of experience supporting senior executives, leading projects, or working within Human Resources, People Operations, Program Management, or related functions.
  • Demonstrated success managing multiple complex projects simultaneously.
  • Experience preparing executive presentations, reports, communications, and board materials.
  • Experience handling highly confidential employee and business information.
