Job DetailsJOB SUMMARY
The Operations Support Specialist is responsible for providing operational, administrative, and coordination support across Clinical Services. The Specialist assists leadership teams with documentation, process coordination, audits, issue tracking, and operational activities to improve efficiency and support program performance. This role serves as a key resource in ensuring operational processes are executed consistently, accurately, and efficiently.
ESSENTIAL DUTIES & RESPONSIBILITIES
Operational Coordination & Administrative Support
• Coordinate and track operational projects, action items, and follow-up activities.
• Support audits, compliance reviews, grievances, and documentation requests.
• Facilitate communication between departments and stakeholders as needed.
• Assist with the development, maintenance, and organization of SOPs, job aids, and operational documentation.
• Assist with data collection, validation, and report preparation and distribution.
Systems & Process Support
• Submit, monitor, and track technology-related issues and support requests.
• Assist with system testing, workflow validation, and implementation activities.
• Support user access management and technology-related administrative tasks.
• Identify opportunities to improve operational workflows and administrative processes.
• Provide first-level technical support to remote associates, including troubleshooting basic hardware, software, connectivity, peripheral, and system access issues; escalate complex issues to IT support teams as needed.
Team & Training Support
• Support onboarding logistics, training coordination, and scheduling activities.
• Maintain training records and completion tracking.
• Assist with engagement initiatives and operational communications.
Additional Support
• Support leadership with ad hoc requests, projects, analysis, and operational initiatives.
• Perform other duties as assigned.

QualificationsKNOWLEDGE & REQUIREMENTS
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple priorities and meet deadlines.
Strong written and verbal communication skills.
Ability to work independently while coordinating across multiple teams.
Strong problem-solving and critical-thinking skills.
Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Teams, Outlook).
Experience maintaining documentation, trackers, and operational records.
Ability to handle confidential and sensitive information appropriately.
Experience working in a fast-paced operational environment.
Working knowledge of common computer hardware, software, remote work tools, and basic troubleshooting techniques for laptops, monitors, VPN connectivity, printers, headsets, Microsoft applications, and system access issues.
EDUCATION & EXPERIENCE REQUIREMENTS
• Minimum years of work experience: 2 years in operational support, administrative support, communications, human resources
• Minimum level of education or education/experience: Associate's degree or equivalent experience.
Required
• Experience with reporting and operational documentation.
• Proficiency in MS Office Suite (e.g., Excel, Outlook, PowerPoint, etc.) and Product/Project tracking tools.
• Experience providing basic technical support
Preferred
• Bachelor's degree.
• Healthcare, pharmacy, MTM, health insurance, or call center experience.
• Advanced Excel skills.
• Experience with Teams, SharePoint, Jira, Confluence, or similar operational tools.
• Experience supporting remote teams.
