The Operations Manager will oversee day-to-day business execution, coordinate team priorities, and act as an operational filter between the Founder and Growth Operator. They are responsible for maintaining operational systems, managing client onboarding, and ensuring business commitments are completed efficiently.

As the company grows, the biggest challenge is no longer a lack of ideas or opportunities—it’s operational leverage. Too much coordination, follow-up, administration, and day-to-day execution still depends on the Founder and Growth Operator.
We’re hiring a senior Operations Manager to create the operational leverage needed for the business to scale.
We’re looking for a senior, proactive, hands-on Operations Manager who can take ownership of day-to-day execution across the business and serve as a reliable operational partner to the Founder and Growth Operator.
We’re looking for someone with strong operational judgment who can independently identify what needs to happen, organize people and priorities around it, close open loops, and build simple systems that keep the business moving.
You’ll act as a genuine two-way operational filter between the Founder and Growth Operator.
The Growth Operator should be able to focus on growth strategy, acquisition, campaigns, funnels, and performance.
The Founder should be able to focus on product, coaching, content, brand, sales, and closing.
Your job is to make that possible by:
Prioritizing what actually needs to happen
Delegating what doesn't require the Founder
Coordinating the team and contractors
Following up on outstanding work
Keeping clients and members supported
Maintaining operational systems
Closing open loops
Escalating only what genuinely requires Founder or Growth input
You should be equally comfortable doing the work yourself, coordinating others, and improving how the work gets done.
Operations & Business Management
Own day-to-day operational coordination across the business, including priorities, tasks, deadlines, follow-ups, and team accountability.
Act as the operational point person between the Founder, Growth Operator, team members, contractors, and external partners.
Maintain visibility across key business priorities and ensure commitments are followed through to completion.
Coordinate Inner Circle client onboarding, scheduling, tracking, renewals, and offboarding.
Handle routine WhatsApp and Skool member support, announcements, onboarding, and community administration.
Maintain client, member, and business records and ensure important information is up to date.
Review Fathom transcripts and maintain GoHighLevel with sales notes, pipeline stages, follow-ups, and next actions.
Coordinate with contractors and team members, including the editor, setter, and other external partners.
Identify operational gaps, overdue tasks, and potential issues before they become problems.
Build and maintain a simple weekly operating/KPI dashboard covering key priorities, performance indicators, outstanding actions, and areas requiring attention.
Build and maintain practical SOPs, trackers, and workflows for recurring processes.
Growth & Content Operations
Work closely with the Growth Operator to turn growth priorities into clear tasks, owners, deadlines, and next steps.
Act as the operational filter between the Growth Operator and Founder—prioritizing requests, delegating what can be handled elsewhere, and escalating only what genuinely requires Founder input.
Own the execution and administration of YouTube, including uploads, descriptions, playlists, Community posts, testimonials, and coordination with the editor. The Growth Operator remains responsible for YouTube strategy and performance.
Support content workflows from recording → editing → approval → publishing → repurposing.
Help coordinate marketing campaigns, launches, ads, webinars, and other growth initiatives by tracking deliverables and deadlines.
Support lead and sales operations by ensuring qualified opportunities, follow-ups, and handoffs don't fall through the cracks.
Help maintain ManyChat and other growth-related workflows, including campaign tracking, QA, and follow-through on agreed changes.
Surface useful member feedback, testimonials, and community insights that can support growth.
Confidentiality & Discretion
Handle sensitive client, coaching, financial, operational, sales, and business information with strict confidentiality.
Exercise sound judgment regarding what information should be shared, with whom, and when.
Be comfortable working with confidential Founder and business information in a founder-led environment.
Signing an NDA will be required as part of the role.
5+ years of experience in operations, business operations, project management, business administration, or a similar function, or demonstrable ownership of operations within a founder-led or entrepreneurial business.
Experience supporting a founder, CEO, entrepreneur, or senior executive in a fast-paced business environment.
Experience in online education, coaching, consulting, personal development, digital products, membership communities, media, or other online businesses is an advantage.
Highly proactive, organized, and dependable, with strong follow-through.
Comfortable taking ownership rather than waiting for instructions.
Strong written and verbal English communication skills.
Comfortable working across tools such as Google Workspace, WhatsApp, Skool, ChatGPT, Fathom, GoHighLevel, Calendly, ManyChat, YouTube, and project-management tools.
Able to prioritize, delegate, problem-solve, and escalate appropriately.
Comfortable working in a fast-moving, founder-led environment where processes are still being built.
Strong bias toward simple, practical execution over unnecessary process or tool-building.
Commercially aware and able to understand the impact of operations on customers, leads, revenue, and growth.
