The Operations Assistant will manage front and back-office administrative tasks, including patient communication, insurance verification, and revenue cycle follow-up. They are responsible for maintaining accurate records and proactively identifying operational needs to ensure efficient workflow.
This is a remote position.
Our client is looking for a Full-Time Operations Assistant to support both front-office and back-office operations within a growing healthcare organization. The company provides technology-enabled cardiovascular care designed to make specialized healthcare more accessible and convenient, and in recent years has gained recognition through healthcare innovation initiatives and startup programs.
This position combines patient communication, administrative support, insurance verification, and revenue cycle follow-up. The ideal candidate is highly organized, proactive, empathetic, and comfortable interacting directly with patients while also managing detail-oriented administrative work behind the scenes.
Because the role involves regular patient communication, excellent spoken and written English is essential. The right person will bring a people-first attitude, strong emotional intelligence, attention to detail, and the initiative to identify what needs to be done without waiting for constant direction.
Answer incoming patient phone calls professionally, warmly, and efficiently.
Respond to written patient inquiries and messages with clear, accurate communication.
Assist patients with general administrative questions and route more specialized requests to the appropriate team member.
Complete insurance verification and support related administrative processes.
Support revenue cycle activities, with a particular focus on following up on outstanding insurance claims.
Monitor claims and assist with obtaining information needed to move unresolved items forward.
Complete paperwork, documentation, filing, and other administrative tasks accurately and on time.
Follow up with patients, clients, vendors, insurance-related contacts, and other external parties as needed.
Maintain organized and accurate records while handling multiple operational priorities.
Assist with day-to-day front-office and back-office workflows.
Proactively identify pending tasks, follow-ups, or operational issues and take appropriate action.
Provide a positive and empathetic experience during patient interactions.
Collaborate with the broader team to keep administrative and operational processes moving efficiently.
Learn new workflows and responsibilities as the organization continues to grow.
High level of English proficiency, both spoken and written.
Strong verbal communication skills and confidence handling phone conversations in English.
Excellent interpersonal and patient-service skills.
Strong attention to detail and ability to maintain accurate documentation.
Highly organized with the ability to manage multiple tasks and follow-ups.
Proactive, self-directed approach to work.
Comfortable performing both patient-facing and administrative responsibilities.
Ability to communicate with empathy, patience, and professionalism.
Ability to learn new processes quickly and adapt to changing operational needs.
Comfortable working independently in a remote environment.
Reliable computer, internet connection, and professional remote-work setup.
Previous experience in an administrative, operations, healthcare support, medical office, patient services, or similar role is strongly preferred.
Experience communicating directly with patients, customers, or clients is highly valuable.
Familiarity with healthcare administrative processes is preferred.
Experience with insurance verification, medical claims, billing, or revenue cycle management is a strong advantage.
Comfortable using Google Workspace for everyday administrative and collaborative tasks.
Strong follow-through and ability to manage open items until resolution.
High emotional intelligence and a people-centric mindset.

Positive attitude, strong character, and willingness to learn.
