Overview
The Indirect Tax Analyst will support the day-to-day indirect tax operations for Prosci, working closely with the Principal, Tax, and grow with the tax function as it develops. The majority of this role is focused on U.S. sales and use tax and other indirect taxes: making sure transaction data flows correctly between our systems and the tax engine, keeping product taxability accurate, maintaining exemption certificates, preparing returns, and supporting audits.
This role suits a tax or accounting professional who enjoys solving problems, takes care to get the details right, and wants to grow their career within a forward-thinking, global finance team.
Requirements
Key Responsibilities
Sales and Use Tax Operations (Primary Focus)
- Taxability and tax engine configuration: Help maintain the product taxability matrix and the product and service tax codes in the tax engine. Update them, in line with taxability decisions agreed with the Principal, Tax, when new products, services, or bundles launch, or when a state changes how something is taxed, with particular attention to SaaS and digital goods.
- Data integrity: Reconcile transaction data flowing from the ERP, billing system, and e-commerce platform into the tax engine. Investigate integration errors, miscoded transactions, and missing data, resolving or escalating issues before they reach a filed return.
- Nexus and registrations: Monitor economic and physical nexus thresholds by state, register or deregister as Prosci's footprint changes, and keep the tax engine's jurisdiction settings aligned with actual filing obligations.
- Exemption certificates: Act as the day-to-day contact for the third-party provider that reviews exemption certificates, and check their work to confirm certificates are reflected correctly in the tax engine.
Returns, Reconciliations, and Audits
- Return review and reconciliation: Help prepare and file sales and use tax returns. Before filing, compare calculated liabilities to the general ledger and flag unusual swings or unexpected jurisdiction activity. After filing, reconcile remitted amounts to tax payable accounts monthly and resolve variances.
- Amended returns and refunds: Gather information to help prepare and submit amended returns and refund claims.
- Audits: Support state and local tax audits by gathering documentation, preparing schedules, and responding to auditor requests.
Non-U.S. and Other Indirect Taxes
- Non-U.S. indirect tax: Support non-U.S. indirect tax compliance, such as GST for Australia, New Zealand, and Canada.
- Other indirect taxes: Help set up and run processes for other indirect taxes, such as property tax and withholding tax on vendor payments.
- Global indirect tax projects: Support global indirect tax projects as needed.
Across the Tax Function
- Process improvement: Identify opportunities to automate and streamline tax processes and help implement them.
- Documentation: Keep tax records, workpapers, and process documentation organized and audit-ready.
- Collaboration: Partner with Finance, Accounting, Sales Operations, IT, and Legal to ensure accurate and compliant tax outcomes.
- Direct tax support: Support U.S. direct tax work as assigned, such as gathering data and preparing workpapers for income tax returns and estimated payments.
Key Performance Indicators
- Filing support: Assigned indirect tax returns were prepared or reviewed accurately and on time, with few corrections needed.
- Monthly reconciliations: Tax payable reconciliations finished by the close deadline, with variances researched and explained.
- Tax engine upkeep: Taxability and tax code updates made quickly once approved, and transaction errors spotted and raised before returns are filed.
- Exemption certificates: Regular spot-checks of the provider’s work, with issues tracked through to resolution.
- Audit support: Auditor requests for data and documentation answered completely and by the deadlines set by the manager.
- Documentation: Workpapers and process notes kept organized, current, and easy for others to follow.
- Growth: Steadily handling more tasks without close supervision, such as owning a new process or project, within the first 6–12 months.
- Direct tax support: Assigned direct tax support tasks finished accurately and on time.
