The HR Operations Specialist will manage the end-to-end employee lifecycle, including onboarding, payroll coordination across multiple jurisdictions, and administrative support. They will also act as the primary point of contact for HR inquiries and assist in maintaining accurate personnel records and organizational data.

Your Role:
As an HR Operations Specialist, you will help ensure a positive employment experience for our internal team of employees. You will act as the first point of contact for HR questions. You will support the HR Manager in maintaining employee-related data and processes across the entire employee lifecycle. This will include offer generation, onboarding, annual review preparation, and offboarding. In addition to employee-related administrative activities, you will work with the Head of HR Operations on projects and enhancements to achieve a high level of employee satisfaction.
What you'll do:
You will support a multitude of HR activities including but not limited to:
General HR Administration
You liaise with external partners (payroll providers in 4 different countries, insurances, and benefit providers) for all HR operational matters
Tracking and compliance of time off and absence management using PurelyHR
Organization and maintenance of personnel records
You support key people processes such as performance reviews
You are responsible for continuous update of the organization chart
You will support additional functional and cross-functional projects
You will manage the HR inbox and act a main contact for HR Operations questions
Reviewing data and running reports related to standard HR and Recruiting KPIs
Employee Onboarding
You support the HR Manager in a flawless onboarding of new employees
You draft the onboarding plans and organize materials related to onboarding
You ensure that all relevant documentation is available to process payroll in four differentjurisdictions(Switzerland, UK, USA, and Germany)
You coordinate the new joiner’s first day including IT onboarding
You ensure that the relevant check-ins are taking place
Internal Communication
You support HR-related communication activities including new joiner announcements, promotions, and employee anniversaries
You manage people related data in the events calendar including employee birthdays and anniversaries
You are responsible for updating and developing the HR SharePoint site and ensuring accuracy of contact lists

You must have authorization to work in the Philippines and previous experience supporting employees in the US, UK and / or Europe and the desire to work part time hours
Ideally, you have at least 5 years of experience in HR operations within a multi-national company
You are a motivated individual willing to learn and grow implementing new procedures and processes
You are detail oriented with a proven ability to deliver high-quality and accurate outputs
You have strong organizational skills, see colleagues as your customers and you are comfortable working in a fast-paced, changing environment
You are proficient with Excel and have worked in Microsoft/SharePoint environment and are comfortable with new technologies
You have strong listening and documentation skills and exhibit empathy as you consider employees' questions and requests
You ideally have a university degree or equivalent
You are and excellent communicator, fluent in English, German is desirable
