Grant & Proposal Development Specialist

Estoras Group  |  British Columbia, Canada (Remote / Hybrid)

Part-time employment or consulting arrangement •  Reports to Executive Leadership

About the Role

Estoras Group is looking for a resourceful, commercially minded Grant & Proposal Development Specialist to identify and secure funding opportunities and develop compelling business proposals across our group of companies.

Our businesses span technology, artificial intelligence, digital marketing, automation, business consulting and motorsports. We need someone who can understand different business models, spot worthwhile opportunities and turn ideas into credible, persuasive applications and proposals.

This is not simply a writing position. You may be researching government funding for an AI project one day and coordinating a client RFP, innovation grant or business case the next. You will work directly with executive leadership and Managing Directors, taking responsibility for initial research through submission and follow-up.

Our expectation: Find the opportunity, understand the requirements, build a strong case and make sure it gets submitted properly.

What You’ll Do

Grant Research & Funding Opportunities

·       Identify relevant federal, provincial, municipal and private grants, subsidies, incentives and innovation programs.

·       Assess eligibility, funding limits, deadlines, reporting obligations and the commercial value of applying.

·       Research opportunities in AI, technology development, digital transformation, R&D, commercialization and business expansion.

·       Maintain a group-wide pipeline of opportunities and proactively recommend those worth pursuing.

Grant Applications & Funding Proposals

·       Own the application process from research and planning to review, submission and follow-up.

·       Write clear project descriptions, objectives, business cases, milestones and measurable outcomes.

·       Coordinate financial and operational inputs to prepare budgets, supporting evidence and required documentation.

·       Address evaluation criteria accurately; coordinate internal approvals and submit through funding portals.

·       Respond to funder questions, track application status and support post-award claims, reporting and compliance.

Business Proposals, RFPs & Commercial Opportunities

·       Coordinate responses to RFPs, RFIs, RFQs, client proposals and expressions of interest.

·       Translate technical and operational concepts into clear business value and persuasive executive summaries.

·       Work with Managing Directors, technical experts and project managers on scope, deliverables, resource plans and pricing narratives.

·       Build reusable proposal templates, company profiles and standard supporting materials.

AI, Technology & Innovation Funding

Work with our technical teams to develop funding cases for artificial intelligence, software products, automation, research, digital transformation and commercialization. Familiarity with Canadian programs such as NRC IRAP and SR&ED is valuable, but eligibility must always be independently checked for each project and program.

Working Across Multiple Companies

·       Learn each company’s services, customers, priorities and financial realities.

·       Gather information directly from subject-matter experts without creating unnecessary executive administration.

·       Coordinate simultaneous submissions and keep leadership informed about deadlines, dependencies, decisions and outcomes.

·       Handle confidential financial, technical, personnel and commercial information with discretion.

Requirements

What We’re Looking For

·       Demonstrated experience preparing grants, funding applications or competitive commercial proposals.

·       Excellent writing, editing, research and business communication skills.

·       Working knowledge of Canadian grant programs and ability to interpret detailed eligibility and compliance rules.

·       Ability to construct business cases, project narratives, budgets and supporting submissions.

·       Strong organization, attention to detail and independent ownership of deadlines.

·       Confidence working with executives, finance teams, technical specialists and external agencies.

·       Sound commercial judgment, initiative and a focus on practical outcomes.

·       Digital confidence, including responsible use of AI research and writing tools.

Experience That Would Be Valuable

Government innovation grants, SR&ED, NRC IRAP, RFP/tender responses, professional services, AI and digital transformation, grant reporting, business planning, Zoho One or similar systems. A relevant degree may help, but proven real-world results matter more than credentials alone.

Technology & AI

We use Zoho One, AI assistants and automation tools to improve how our companies operate. You should be curious and comfortable learning new platforms. AI can assist research and drafting, but you remain accountable for verifying eligibility, supporting evidence, financial information and final representations.

How We Work

Estoras Group is entrepreneurial, practical and fast moving. Priorities change, and our teams value people who communicate clearly, solve problems and follow through without repeated reminders. We prefer a small number of well-qualified, credible applications over a large number of submissions with little chance of success.

Performance & Success

·       Qualified funding opportunities identified and assessed.

·       Quality, accuracy and completeness of grant applications and proposals.

·       Funding and business outcomes relative to opportunities pursued.

·       On-time submissions, organized records and adherence to compliance requirements.

·       Ability to coordinate contributors and operate with minimal executive oversight.

External funders make final award decisions, so performance is assessed on sound opportunity selection and quality execution, not approvals alone.

Compensation & Working Arrangement

Compensation will be negotiated based on experience, Canadian funding knowledge, proposal-writing ability, independence and agreed responsibilities. The position may be full-time employment or a consulting engagement. Appropriate performance incentives may be considered where permitted by program rules and the engagement terms.

What Success Looks Like

You become the person our Managing Directors turn to when a project could qualify for funding or when a strong proposal is needed. You know where to look, identify risks early, assemble the right contributors, prepare a credible case, submit it correctly and keep everyone informed. Your value is not simply writing applications. It is helping our businesses pursue worthwhile opportunities and deliver results.

How to Apply

Submit your résumé and a brief note covering:

·       Your experience with Canadian grants and government funding programs.

·       Examples of grant applications, RFPs or business proposals you have prepared and their outcomes, where disclosed.

·       Industries and funding programs you know best, and how you determine eligibility.

·       An application or proposal you owned from research through submission.

·       Your experience collaborating with executives, finance and technical teams.

·       How you use AI and business technology responsibly.

·       Your preference for full-time employment or consulting.

We are particularly interested in people with practical commercial understanding, credible results and the confidence to take ownership of complex work.

Building businesses. Developing opportunities. Delivering results.
