The Legal Assistant role at Commonwealth Life & Legacy Counsel is vital to our mission of delivering outstanding client experiences. As the first point of contact, you will enhance our intake process, ensuring potential clients receive immediate attention and compassion. By efficiently handling communication and scheduling, you will support the firm's growth and client satisfaction, eventually taking on expanded responsibilities within our team.

 

What you’ll do:

  • Intake Support: Serve as the first point of contact for prospective clients, provide an empathetic experience, warm-transfer calls when appropriate, take accurate messages, and support the intake process.
  • Phone Coverage: Answer incoming calls consistently during business hours, providing a positive experience and transferring calls when necessary.
  • Scheduling: Support consultation scheduling, appointment changes, and calendar coordination for attorneys and staff, with increasing ownership as you become established.
  • Client Follow-Up: Support timely follow-up with prospective and existing clients, helping ensure questions, messages, and next steps are addressed appropriately.
  • Administrative Support: Assist with clerical tasks such as mailing, document management, and supporting attorneys with non-billable tasks.
  • System Utilization: Operate within firm systems like ESI VoIP, Clio, and Clio Grow to manage client interactions effectively.
  • Growth Opportunity: Gradually take on more significant responsibilities such as lead qualification and operational support as you become established.


What we’re looking for:           

  • Communication Skills: Excellent verbal communication with a clear, understandable presence on the phone.
  • Client Service: Proactive and empathetic approach to client interactions, making clients feel valued and understood.
  • Organizational Skills: Strong capability in scheduling and managing a dynamic calendar efficiently.
  • Technical Proficiency: Comfort with technology including VoIP systems, Clio, Microsoft Office, and the ability to adapt to new platforms.
  • Remote Work Readiness: Reliable high-speed internet, a dependable home-working environment, and comfort using VoIP/mobile phone systems are required.
  • Patience and Empathy: High emotional intelligence to handle sensitive client interactions, especially across diverse client demographics.
  • Problem Solving: Solutions-oriented mindset, capable of taking initiative to address issues independently.
  • Schedule Availability: Able to work consistently during the firm’s U.S. business hours to provide reliable phone and intake coverage.
  • Flexibility: Openness to occasional overflow coverage, if needed, with additional coverage expectations communicated in advance.
