Role Overview
The Field Marketing Manager owns Technosylva's presence at utility- and forestry-focused trade shows and conferences from strategy through closeout. Events are a critical part of the industry we operate in and a major part of the Technosylva marketing approach. The professionalism exhibited in how we organize, execute and show up for these events reflects on the entire company.
This role sets the plan for each event, manages every logistical detail, coordinates the people and assets involved, and ensures that the leads and insights we generate flow cleanly into our systems and back to the business. It combines strategic marketing judgment with rigorous operational execution, strong cross-functional communication, and a data-driven approach to measurement and continuous improvement.
Responsibilities
Trade Show/Conference Planning & Logistics
- Manage all event logistics end to end, including booth space selection and payment; contract review and execution in partnership with Technosylva Legal; provide brand assets for listing in trade show promotional materials; identify and coordinate with speakers on key topics; collect speaker biographies; secure electricity and utilities for each event; and ship materials to and from each event.
- Select and confirm the right staff for each event based on audience, objectives, and coverage needs.
- Ensure appropriate collateral and promotional materials are provided for each event.
- Secure venues for customer and prospect dinners, and either manage the event on-site or coordinate closely with other owners.
- Establish and maintain lead capture workflows and structured post-event follow-up processes for every event.
Virtual Event Planning & Logistics
- Manage logistics for new webinar program, including webinar software platform, coordination with Marketing Programs, speakers and other key stakeholders.
- Convene prep meetings for the entire program, securing meeting participants, sending notes and managing follow ups.
- Ensure recognition and tracking of all attendees in HubSpot.
- Manage follow up with attendees and internal stakeholders (Sales, CS).
Cross-Functional Communication & Internal Enablement
- Communicate proactively with internal partners about Technosylva's event participation, timelines, and expectations.
- Ensure all internal sources and systems are updated and maintained with correct, current event information.
- Serve as the central point of contact before, during, and after each event for stakeholders across Marketing, Sales, and Legal.
On-Site Execution
- Travel to selected events, where necessary, to manage booth setup, staffing, and overall event participation.
- Support on-site adoption of badge-scanning and conversation-capture processes so that every meaningful interaction is recorded.
- Manage customer and prospect dinners on-site or coordinate their execution with other owners.
- Coordinate return shipping, ensuring that materials return to the warehouse or go directly to the next event.
Lead Capture & Data Management
- Configure event-specific lead forms, qualification questions, resources, and capture groups within the approved lead-capture system.
- Coordinate the timely transfer of attendee, lead, and interaction data into HubSpot.
- Flag incomplete records, synchronization problems, and unassigned follow-up actions, and drive them to resolution.
Measurement, Reporting, Invoicing & Event Closeout
- In partnership with the Marketing team, define KPIs track performance for each event.
- Own the feedback loops that make the program better over time: stakeholder goals in advance, stakeholder debriefs afterwards, and internal retrospectives where appropriate.
- Prepare post-event reports and recommendations about whether to participate the following year.
- Collect final invoices and reconcile actual costs against approved event budgets.
- Archive assets for easy access for future use
Requirements
- 2+ years of field marketing, event marketing, or trade show / conference management experience.
- Experience coordinating hospitality events.
- Strong project management skills and proven ability to manage many concurrent deadlines and vendors without losing detail.
- Familiarity with and experience leveraging the latest AI technologies in workflows.
- Willingness to learn a new industry and work with a fast-moving team.
- Excellent written and verbal communication skills, including the ability to produce concise reporting.
- Comfort defining and reporting on programs.
- Willingness and ability to travel up to 30-40%, including occasional evenings and weekends, and to work on-site at events.
- Experience with lead-capture tools (badge scanning, event lead-capture apps) and marketing/CRM platforms, with HubSpot experience strongly preferred.
- Bachelor's degree in Marketing, Communications, Business, or a related field, or equivalent practical experience.
Travel and Physical Requirements
- Up to 30-40% travel to trade shows, conferences, and customer events across the United States, with occasional evening and weekend hours during events.
- Ability to be on-site for booth setup and teardown, which may involve standing for extended periods and lifting or moving event materials (typically up to ~25 lbs).
- Reliable remote work environment for planning, coordination, and reporting between events.
