Position Summary

We are seeking a highly organized, proactive, and business-minded Executive Administrator & Chief of Staff to support our Chief Revenue Officer. This individual will serve as a trusted partner responsible for maximizing executive effectiveness, ensuring operational excellence, and driving accountability across the Revenue organization.

This role goes well beyond traditional executive administration. While managing executive priorities, communications, travel, and scheduling remains important, the ideal candidate will also act as a strategic coordinator, meeting quarterback, project manager, and operational hub for the CRO and his leadership team.

The successful candidate will anticipate needs before they arise, manage competing priorities with confidence, and help ensure that critical business initiatives move forward without friction.

Requirements

Executive Support & Calendar Management

  • Own and manage the CRO's complex global calendar.
  • Prioritize meeting requests based on business impact and strategic importance.
  • Protect executive focus time while ensuring accessibility to key stakeholders.
  • Coordinate customer meetings, board interactions, leadership sessions, and executive travel.
  • Manage travel logistics, itineraries, expense reporting, and executive schedules.
  • Prepare the CRO daily and weekly with briefing materials and meeting summaries.
  • Ensure seamless coordination across internal and external stakeholders.

Meeting & Action Item Management

  • Serve as the central coordinator for leadership meetings and operating cadences.
  • Prepare agendas, organize supporting materials, and ensure meeting readiness.
  • Capture decisions, action items, deadlines, and ownership assignments.
  • Drive follow-up and accountability across the leadership team.
  • Maintain visibility into open action items and escalation needs.
  • Ensure nothing falls through the cracks.

Revenue Leadership Team Coordination

  • Act as a liaison between the CRO and direct reports.
  • Coordinate leadership team meetings, offsites, QBRs, forecast reviews, and planning sessions.
  • Monitor progress against organizational priorities.
  • Facilitate communication and alignment across Sales, Marketing, Customer Success, Revenue Operations, Finance, and Product.

Executive Communications

  • Draft and edit executive communications.
  • Prepare internal announcements, presentations, talking points, and leadership updates.
  • Develop executive-ready presentations and reports.
  • Create customer and prospect briefing documents.
  • Ensure communications are clear, professional, and aligned with company objectives.

Business Operations Support

  • Maintain visibility into critical revenue initiatives and strategic projects.
  • Track progress on organizational goals and business priorities.
  • Create executive dashboards and reporting summaries.
  • Support annual planning, operating reviews, and special projects.
  • Assist with leadership scorecards and KPI tracking.

Project & Program Management

  • Lead or coordinate strategic projects identified by the CRO.
  • Support organizational initiatives, process improvements, and operational enhancements.
  • Facilitate cross-functional collaboration and remove execution bottlenecks.
  • Manage timelines, stakeholders, deliverables, and communications.

Executive Productivity & AI Enablement

  • Leverage Microsoft 365 Copilot and AI tools to maximize leadership productivity.
  • Build executive workflows, dashboards, trackers, and briefing materials.
  • Continuously identify automation opportunities that improve efficiency.
  • Help implement best practices for executive and leadership team effectiveness.

Qualifications

Required

  • 5+ years supporting C-level executives.
  • Proven experience managing complex executive calendars and priorities.
  • Exceptional organizational and project management skills.
  • Strong written and verbal communication abilities.
  • High level of discretion handling confidential information.
  • Advanced proficiency in Microsoft 365, PowerPoint, Excel, Teams, and Outlook.
  • Ability to operate independently with minimal direction.

Preferred

  • Experience supporting a CRO, CEO, COO, President, or other executive leader.
  • Experience in SaaS, technology, cybersecurity, or high-growth companies.
  • Exposure to Sales Operations, Revenue Operations, or business strategy functions.
  • Familiarity with Salesforce, Power BI, Clari, Gong, or similar tools.
