Profile Requirements:
- Experience: 3+ years of Executive Assistant or Operations Administration experience, preferably within the security, government contracting, defense, or related regulated industries.
- Government Contract Knowledge: Proven experience supporting government contracts, preparing proposals, managing tender processes, and ensuring compliance with contract requirements.
- HR & Administrative Skills: Experience with remote recruitment, employee onboarding, scheduling, HR administration, and executive-level organizational support.
- Technical Proficiency: Proficient with ADP, Jotform, Microsoft Office, Google Workspace, and other business management systems, with the ability to quickly learn new software.
- Core Competencies: Exceptional organizational, communication, and multitasking skills with strong attention to detail, problem-solving ability, discretion when handling confidential information, and the initiative to improve processes and support business growth.
Core responsibilities:
- Executive & Administrative Support: Provide high-level administrative support to leadership, including calendar management, meeting preparation, document management, correspondence, and maintaining organized business systems.
- Government Contracts & Tender Management: Prepare proposals, coordinate tender submissions, manage contract documentation, ensure compliance with government and private contract requirements, and support the full contract lifecycle.
- Compliance & Documentation: Maintain compliance with industry regulations, licensing requirements, government contract standards, and company policies while ensuring accurate and up-to-date records.
- HR & Remote Recruitment: Coordinate remote hiring processes, including job postings, candidate screening, interview scheduling, onboarding, employee documentation, and HR administrative support.
- Scheduling & Emergency Coordination: Manage staff scheduling, support shift coverage, coordinate emergency on-call requests, and ensure operational continuity for security personnel.
- Systems & Process Management: Administer and maintain business systems such as ADP, Jotform, and other operational platforms while improving workflows and maintaining company assets and records.
- Operational & Organizational Support: Assist with organizing company resources, tracking projects, preparing reports, supporting meetings, and implementing processes that improve efficiency and scalability.
- Business Growth & Cost Optimization: Identify cost-effective recruitment channels and alternatives to expensive job boards (e.g., Indeed), recommend operational improvements, and support initiatives that help the company scale efficiently.
