About the Role

Generalist / Clerical Legal Assistant

The Generalist / Clerical Legal Assistant provides centralized administrative and case-support services to Specialist Legal Assistants across the firm. Unlike Specialist Legal Assistants, this role is not assigned to a specific attorney, metro, or caseload. Instead, Generalist Legal Assistants support multiple teams based on workload, priorities, and business needs.

The role handles standardized clerical, court, discovery, records, document, and case-support tasks. The successful candidate works independently, follows established procedures, manages competing priorities, and maintains a high level of accuracy when handling case information and legal documents.

Key Responsibilities

Court & Case Support

  • Contact courts to confirm case details, status, filing information, court dates, times, and locations.
  • Verify information using approved court resources and document findings accurately.
  • Identify discrepancies and escalate them appropriately.
  • Update case-management systems with verified information.

Legal Document & Motion Support

  • Prepare standardized motions and other documents using approved templates and case information.
  • Follow firm requirements for formatting, naming, filing, and quality control.
  • Follow up on pending motions and document status when needed.

Discovery & Records

  • Request discovery and records from courts, agencies, prosecutors, law enforcement, and other authorized sources.
  • Follow up on outstanding requests.
  • Download, organize, and upload discovery, videos, offense reports, PC affidavits, and other case documents.
  • Verify that materials are complete and associated with the correct client and matter.

Case & Contract Support

  • Complete New Case Contract Verification according to established procedures.
  • Locate and verify cause numbers and update case records.
  • Assist with LOR/MTSC-related administrative tasks.
  • Identify missing or inconsistent information and route issues to the appropriate Specialist Legal Assistant or supervisor.

General Administrative Support

  • Provide task-based support to Specialist Legal Assistants across different attorneys, metros, and caseloads.
  • Manage multiple assignments based on deadlines, priority, and operational needs.
  • Maintain accurate and timely updates in firm systems.
  • Communicate proactively when information is unavailable, a task cannot be completed, or additional action is required.
  • Protect confidential client and case information and follow all firm data-handling and security policies.

Requirements

    • 5+ years of experience in administrative, legal support, customer service, clerical, or case-management roles serving an international company or clients.
    • Must have a reliable PC/laptop, stable internet, and work-from-home setup.
    • Must be willing to work night shifts, weekends, and holidays.
    • Strong written and verbal communication skills.
    • Strong attention to detail and organizational skills.
    • Able to work independently and manage multiple priorities.
    • Proficient in using computers and multiple software systems.
    • Able to handle confidential information and meet deadlines.

Preferred

  • Experience in a law firm, legal services organization, court, government agency, or similar environment.
  • Familiarity with legal terminology, court processes, discovery, motions, or case-management systems.
  • Experience communicating with courts, government agencies, or other legal stakeholders.
  • Experience working in a high-volume, deadline-driven environment.

Performance Expectations

A successful Generalist / Clerical Legal Assistant:

  • Completes assigned work accurately and on time.
  • Follows established processes without repeated instruction.
  • Verifies information rather than making assumptions.
  • Maintains accurate case records and organized documents.
  • Proactively follows up on outstanding requests.
  • Communicates issues or delays promptly.
  • Transitions efficiently between different teams and task types.
  • Maintains professionalism when communicating with courts, agencies, clients, and internal teams.
  • Protects confidential client and case information at all times.

Work Environment

This is a centralized support role. Generalist / Clerical Legal Assistants may receive assignments from multiple Specialist Legal Assistants and support matters across different attorneys, metros, and case types. Work volume and assignments may change based on operational priorities and firm needs.

The position requires strong organization, flexibility, accuracy, and accountability while working within established processes and deadlines.
