Role Overview
Love organised systems, accurate records, and making sure nothing slips through the cracks?
We’re looking for an AU RTO Student Administration Officer to help keep student administration running smoothly across enrolments, training plans, student communications, RPL documentation, completions, and compliance administration.
This is a hands-on role where accuracy, organisation, and communication matter. You’ll work across student records, inboxes, calendars, training documentation, and systems while ensuring students and stakeholders receive timely and professional support.
You won’t be expected to know everything on day one. What matters is your ability to follow processes carefully, recognise when something doesn’t look right, and ask rather than guess.
Because when it comes to student records and compliance, getting the little things right is a pretty big deal.
Key Responsibilities:
Monitor and triage training team inboxes.
Manage routine student communications and reminders.
Maintain accurate student enrolments and records.
Update student units and training information.
Support Recognition of Prior Learning (RPL) administration and evidence management.
Coordinate training sessions, exams, site visits, and other bookings.
Prepare Training Plans and follow up outstanding e-signatures.
Enrol students into the Learning Management System (LMS) and provide access details.
Maintain class rolls and support logbook checks.
Support completion documentation and certificate administration following approval.
Maintain compliance records and internal audit documentation.
Keep student and employer communications accurate and up to date.
Follow established procedures and escalate unclear or unusual situations when required.
Requirements
Required Qualifications:
2+ years of relevant work experience, including at least one year in administration, data entry, virtual assistance, or a similar role.
Strong administration and data-entry skills.
Strong written English communication skills, particularly for email correspondence.
High attention to detail and accuracy when maintaining records and documentation.
Ability to follow established procedures and processes.
Strong organizational and time-management skills.
Ability to manage inboxes, calendars, documentation, and competing administrative priorities.
Good judgement and willingness to escalate or ask questions when information or procedures are unclear.
Ability to work independently in a remote environment while maintaining clear communication.
Strong integrity and respect for accurate recordkeeping and compliance requirements.
Preferred Qualifications:
Australian Registered Training Organization (RTO) administration experience.
Understanding of units of competency, enrolments, Recognition of Prior Learning (RPL), and Unique Student Identifiers (USIs).
Experience using Wisenet or another student management system.
Experience using Canvas LMS or another Learning Management System.
Experience with CRM platforms.
Experience supporting RPL evidence and assessor documentation.
Experience with Training Plans, class rolls, logbooks, student completions, and certificate administration.
Previous customer support, help desk, or high-volume email/chat support experience may also be relevant.
