Role Overview

We are seeking a detail-oriented and customer-focused Applicant Success Specialist to support the applicant journey from application submission through screening and approval. This role is responsible for ensuring a seamless, efficient, and compliant application process while delivering an exceptional experience for prospective residents. The ideal candidate is highly organized, analytical, and committed to maintaining accuracy and regulatory compliance throughout the applicant lifecycle.

Key Responsibilities

  • Pipeline Management & Conversion: Monitor incoming rental applications daily. Reach out proactively to applicants with incomplete files to collect missing documentation (e.g., proof of income, photo IDs).
  • Tenant Screening Coordination: Execute standard background, credit, eviction, and reference checks in accordance with federal Fair Housing laws and local screening regulations (e.g., Fair Chance Housing Acts).
  • Underwriting Support & Risk Assessment: Review income-to-rent ratios, credit histories, and rental ledgers. Prepare files with objective summaries to assist Property Directors in making quick, fair, and compliant approval decisions.
  • Applicant Communication: Serve as the main point of contact for applicant inquiries via phone, email, and text. Answer questions regarding lease terms, community policies, utility setup, and renter's insurance requirements.
  • Adverse Action Administration: Draft and send professional, legally compliant adverse action or denial letters to applicants who do not meet the qualification criteria.
  • System Optimization: Maintain accurate, up-to-date applicant files within our Property Management Systems (e.g., Yardi, RealPage, Entrata).

Required Qualifications

  • Bachelor's degree or equivalent qualification in any discipline.
  • 1–3 years of professional experience in customer service, leasing, property management, operations, administrative support, or a related role.
  • Excellent written and verbal English communication skills.
  • Strong analytical skills with exceptional attention to detail.
  • Excellent organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office, Google Workspace, and data management systems.
  • Ability to handle confidential and sensitive information with professionalism and discretion.

Preferred Qualifications

  • Experience in multifamily property management, leasing, resident services, applicant screening, or tenant relations.
  • Familiarity with Fair Housing regulations and tenant screening best practices.
  • Experience using property management platforms such as Entrata, Yardi, or RealPage.
  • Experience supporting U.S.-based operations or working with remote, cross-functional teams.
  • Bilingual proficiency in English and Spanish is an advantage.
