We are seeking an Accounting Assistant to support accounting, financial reporting, and administrative activities within the insurance and accounting industry. This role will assist with accounts payable, accounts receivable, account reconciliations, invoice processing, payment tracking, journal entries, financial schedules, and month-end close activities.
The ideal candidate has a strong foundation in accounting, excellent attention to detail, and the ability to manage financial information accurately and confidentially. This position will work closely with accounting, finance, insurance, claims, underwriting, billing, and operations teams to support timely and reliable financial processing.
Assist with maintaining accurate and complete accounting records in accordance with company policies and applicable accounting principles.
Process and record routine accounting transactions, including invoices, receipts, payments, deposits, journal entries, and adjustments.
Review accounting documentation for completeness, accuracy, appropriate approvals, and proper account coding.
Assist with maintaining the general ledger and subsidiary accounting records.
Prepare account schedules, transaction summaries, aging reports, and other financial information as assigned.
Support the accounting team with administrative tasks, special projects, and process improvement initiatives.
Process vendor invoices, expense reports, payment requests, and other accounts payable documents.
Match invoices to purchase orders, contracts, receipts, policy records, or other supporting documentation.
Monitor invoice approvals, payment schedules, outstanding balances, and vendor inquiries.
Record customer receipts, insurance-related collections, refunds, and other accounts receivable transactions.
Assist with preparing customer statements, payment applications, collection reports, and accounts receivable aging schedules.
Research and resolve discrepancies involving invoices, payments, customer balances, vendors, carriers, and internal records.
Communicate with vendors, customers, carriers, and internal departments regarding account and payment questions.
Assist with recording and reconciling insurance-related transactions, including premiums, commissions, claims payments, recoveries, refunds, and carrier settlements.
Review policy, billing, claims, underwriting, and payment records for accuracy and completeness.
Support the reconciliation of insurance subledgers, carrier statements, policy administration systems, claims systems, and general ledger accounts.
Assist with tracking policyholder balances, premium receivables, commission payables, claims activity, and other insurance-related accounts.
Investigate differences between accounting records, operational reports, policy information, claims data, and supporting documentation.
Maintain organized documentation for policyholders, customers, vendors, carriers, and other business partners.
Coordinate with accounting, finance, underwriting, claims, billing, and operations teams to obtain information and resolve discrepancies.
Prepare and maintain bank, credit card, accounts payable, accounts receivable, carrier, and general ledger reconciliations.
Research reconciling items, unusual balances, duplicate transactions, missing entries, and aged outstanding items.
Assist with month-end and year-end close activities, including accruals, prepaid expenses, reclassifications, and cutoff procedures.
Support the preparation of balance sheet schedules, income statement reports, cash reports, and management reporting packages.
Perform basic variance analysis and investigate changes in expenses, premiums, claims, commissions, cash balances, and other financial metrics.
Assist with gathering information for financial audits, tax filings, regulatory reporting, and internal reviews.
Maintain accurate electronic and physical accounting files, records, invoices, reports, and supporting documentation.
Follow established accounting procedures, approval workflows, payment controls, and document retention requirements.
Assist with monitoring transaction approvals, segregation of duties, account reconciliations, and other internal control activities.
Identify missing information, processing errors, control issues, and opportunities to improve accounting processes.
Provide organized documentation and explanations for internal and external audits or financial reviews.
Maintain the confidentiality and security of financial, customer, policyholder, claims, employee, and business information.
Perform other accounting, reporting, and administrative duties as assigned.
Associate degree or bachelor's degree in Accounting, Finance, Business Administration, or a related field.
1+ year of experience in accounting, bookkeeping, accounts payable, accounts receivable, finance, or a related role.
Working knowledge of basic accounting principles, double-entry accounting, debits and credits, and general ledger activity.
Understanding of accounts payable, accounts receivable, invoicing, payment processing, and account reconciliations.
Basic understanding of insurance accounting transactions, including premiums, commissions, claims, recoveries, and carrier payments.
Proficiency with Microsoft Excel, including formulas, sorting, filtering, and basic data analysis.
Experience using accounting software, enterprise resource planning systems, billing platforms, or financial reporting tools.
Strong attention to detail and commitment to accuracy when processing financial transactions and reviewing documentation.
Ability to organize records, manage priorities, meet deadlines, and follow established procedures.
Strong English communication skills, both written and verbal.
Ability to handle confidential information with discretion and professionalism.
Experience in the insurance, accounting, public accounting, financial services, or professional services industry.
Experience processing insurance premiums, claims, commissions, carrier statements, policy-related payments, or customer refunds.
Experience with accounting software such as QuickBooks, NetSuite, SAP, Oracle, Microsoft Dynamics, Xero, or similar systems.
Familiarity with U.S. Generally Accepted Accounting Principles (GAAP), International Financial Reporting Standards (IFRS), statutory accounting principles, or insurance accounting practices.
Experience with bank reconciliations, month-end close, financial reporting, audit support, or expense tracking.
Progress toward an accounting, bookkeeping, finance, or related certification.
Advanced Excel skills, including pivot tables, lookup functions, and financial data analysis.
