We recognize the challenges career school administrators face in managing their institutions, from streamlining operations to ensuring compliance with regulatory requirements. At Fame, we provide the support and tools needed to navigate these complexities and run academic institutions efficiently. Our student information systems, supporting tools, and Admission CRM Software, including powerful EDlumina, help simplify and streamline these processes.

Reporting to the Financial Aid Officer Team Lead, we are hiring a Virtual Financial Aid Officer to join our growing Virtual Financial Aid Office. As our new Virtual Financial Aid Officer, you will independently manage hands-on Title IV financial aid processing for students enrolled in clock-hour programs. You will review FAFSAs, determine and verify eligibility, complete awarding and packaging, process ISIR corrections and disbursements, perform calculations, and complete professional judgments and dependency overrides. Working across FAME's two service models, you will communicate directly with schools and students, providing responsive support while ensuring financial aid is processed accurately, on time, and in compliance with federal student aid requirements.

This is a full-time, remote role based in the United States with working hours from 8:00 a.m. to 5:00 p.m. Eastern Time.

How you will make an impact:

  • Administer Title IV financial aid. You will independently manage financial aid processing for students enrolled in clock-hour programs, including reviewing FAFSAs, packaging and awarding aid, completing verification and ISIR corrections, processing disbursements and calculations, and completing professional judgments and dependency overrides. You will manage your work accurately and efficiently while meeting required turnaround times.
  • Maintain compliance and accuracy. You will apply federal student aid requirements throughout the financial aid process, carefully reviewing information and documentation to identify discrepancies, resolve issues, and support compliant outcomes. You will bring strong attention to detail to your work and help protect the schools you serve from Title IV audit findings.
  • Support schools and students. You will work across FAME's two service models, communicating directly with schools about their students and, where applicable, working directly with students while keeping their school informed. You will provide responsive, patient support and clearly explain financial aid requirements, information needed, and next steps.
  • Build trusted school relationships. You will communicate regularly with the schools you support through phone calls, email, and virtual meetings, including monthly meetings with assigned schools. You will respond to questions, provide updates on student financial aid matters, and build confidence through reliable follow-through and clear communication.
  • Problem-solve and follow through. You will investigate financial aid issues, determine the appropriate next steps, and move cases forward while maintaining accuracy and compliance. You will recognize when additional information or support is needed and collaborate with your remote team to resolve issues effectively.
  • Deliver consistent service. You will manage a detailed workload while meeting expectations for turnaround time, productivity, accuracy, and reliability. You will contribute to a growing Virtual Financial Aid Office where service quality and compliant processing directly affect the schools and students FAME supports.

Here’s what you bring:

  • The regulatory knowledge. You have worked in a school financial aid administration department and bring extensive knowledge of Title IV federal student aid regulations and compliance requirements for clock-hour schools. You understand how to interpret and apply federal requirements throughout the financial aid process and recognize the importance of accurate, compliant processing in protecting the schools and students you support.
  • The financial aid processing expertise. You have extensive experience administering Title IV financial aid for clock-hour programs and can independently complete packaging and awarding, ISIR corrections, verification, professional judgments, dependency overrides, disbursements, and financial aid calculations. You can confidently navigate different student situations, identify issues, and determine the appropriate next steps.
  • The analytical skills and attention to detail. You are self-directed and organized, with strong analytical skills and a high level of accuracy and attention to detail. You can review financial aid information and documentation, perform calculations, identify discrepancies, and resolve issues while managing detailed work and meeting turnaround expectations.
  • The customer service and financial counselling skills. You are committed to providing responsive customer service and clear, patient financial aid counselling to schools, students, and families. You can explain complex federal student aid requirements, eligibility, estimates, and financial aid offers in accessible language, helping people understand their options, requirements, and next steps.
  • The communication skills. You have strong written and verbal communication skills and can build trusted relationships in a remote environment. Whether you communicate by email, phone, or virtual meeting, you adapt your approach to your audience and share financial aid information with clarity, professionalism, patience, and empathy.
  • The collaboration. You are comfortable working independently within a collaborative remote team. You can manage competing priorities, follow through on commitments, solve problems independently, and recognize when to ask questions or involve others. You contribute your knowledge and ideas while staying connected with colleagues and the schools you support.
  • The systems and technology skills. You are proficient in Microsoft Office and comfortable working across financial aid management systems, student information systems, databases, and virtual collaboration tools. Experience with FAME's software is preferred but not required. You can confidently move between systems while maintaining the accuracy and integrity of financial aid information.
