Description

At Rankings.io, the candidate experience doesn’t end when someone signs an offer. We’re looking for an Talent Operations Specialist who can turn that “yes” into an exceptional new-hire experience — one that is organized, intentional, and consistent from the moment an offer is accepted through an employee’s first several months with the company.

As a fast-growing, fully remote digital marketing agency serving law firms, we need someone who thrives behind the scenes making sure every detail is handled, every new hire feels supported, and nothing falls through the cracks.

Your Mission: Create an Exceptional New-Hire Experience

You’ll own the onboarding experience from signed offers through Day 90 and help support employees beyond onboarding through structured check-ins, surveys, and stay interviews. You’ll partner closely with Talent Acquisition, HR, IT, and hiring managers to ensure every new hire has the tools, training plan, communication, and support they need to hit the ground running.

This is more than checking boxes. You’ll own and continuously improve a process that includes dozens of moving pieces for every hire while helping us create an onboarding experience that supports engagement, retention, and long-term success.

Responsibilities

  • Own the full onboarding lifecycle for every new hire from signed offer through Day 90, managing approximately 30–50+ onboarding tasks per hire.

  • Partner with hiring managers to develop structured 30/60/90-day training plans and maintain those plans in ClickUp.

  • Conduct and manage our new-hire check-in cadence, including 1-week, 30-day, 60-day, and 90-day check-ins.

  • Coordinate the 6-month employee survey and quarterly stay interviews to better understand the employee experience beyond initial onboarding.

  • Conduct stay interviews and communicate meaningful feedback and trends to department leaders and Human Resources.

  • Partner closely with the IT Director to ensure new hires have the appropriate systems, access, and login credentials prior to their start date.

  • Coordinate with Talent Acquisition, HR, IT and hiring managers to ensure employee information and onboarding requirements are completed accurately and on time in Rippling.

  • Partner with the Experience Coordinator to ensure every new hire receives their new-hire swag.

  • Serve as a consistent point of contact for new hires throughout their onboarding and early employee experience.

  • Maintain organized and accurate onboarding documentation across Rippling, ClickUp, Notion, and other internal systems.

  • Identify gaps, bottlenecks, and opportunities to continuously improve our fully remote onboarding experience.

  • Support Talent Acquisition, recruiting initiatives and overflow as needed, which may include proactive candidate sourcing and outreach during high-volume hiring periods.

Requirements

  • Experience in onboarding, Human Resources, Talent Acquisition, recruiting coordination, People Operations, or a similar role.

  • Experience managing multiple employees or candidates through different stages of a structured process simultaneously.

  • Strong organizational skills with the ability to manage 15–20 new hires at different stages of onboarding without losing sight of the details.

  • Excellent written and verbal communication skills with the ability to create a welcoming, professional employee experience.

  • Comfortable taking ownership of a process from beginning to end rather than simply executing an existing checklist.

  • Comfortable working in a fast-paced, fully remote environment where priorities and hiring volume can shift quickly.

  • Genuine interest in employee engagement, retention, and building an onboarding experience that sets people up for long-term success.

Benefits

  • Starting Salary of $60,000

  • Fully Remote

  • Unlimited PTO

  • $100 Wellness Reimbursement Program

  • Quarterly training stipend for Professional Development

  • 401(k) with 3% Employer match (Safe Harbor)

  • 100% Employer-Paid Health Insurance (For Employee)
