AI Summary

The coordinator will provide cross-functional project management and administrative support to advance organizational priorities during a temporary leave. Responsibilities include maintaining project documentation, facilitating meetings, and supporting research management and executive leadership.

Organizational Summary

Data & Society is an independent nonprofit research organization studying the social implications of data-centric technologies and automation. We recognize that the same innovative technologies that may benefit society can also be abused to invade privacy, provide new tools of discrimination, foreclose opportunity, and harm individuals and communities. Through original research and inclusive engagement, we work to ensure that empirical evidence and respect for human dignity guide how technology is developed and governed.

About The Role

Data & Society is seeking a temporary, full-time Strategy and Research Project Coordinator (Temporary Leave Coverage) who will provide project coordination and administrative support to advance organizational priorities during a temporary employee leave of absence.

This fully remote position is expected to last approximately 6 months, to provide coverage during a temporary leave of absence.

Primary Responsibilities

Cross‑Functional Project Coordination

  • Provide cross‑functional project coordination across assigned projects by maintaining project tools, processes, and documentation, scheduling and facilitating meetings, tracking action items, and supporting timely progress on deliverables;

  • Additional cross functional responsibilities may be assigned based on organizational needs and priorities, and as capacity allows.

Strategy and Engagement Team, Project Coordination

  • Support the planning and coordination of strategy meetings, inclusive of quarterly organizational planning, and monthly cross-team strategy meetings;
  • Coordinate activities and communications related to Strategic Impact Plans and the implementation of project goals;
  • Maintain the Strategy and Engagement information infrastructure, ensuring the tools, calendars, and documentation are consistently updated to reflect up to date information about D&S hosted events and external conferences.

Research Management, Project Coordination

  • Maintain the central publication tracker with progress and release dates for all research, policy, and Points blog streams whereby work is published, communicated and documented, coordinating with Policy and Comms as necessary;
  • Coordinate the pipeline process by scheduling and facilitating key pipeline checkpoints;
  • Support the Director of Research and Associate Director of Research to convene monthly research team meetings, including assembling agendas, sending background materials, and coordinating Strategy and Policy attendance as needed;
  • Support Research Management information‑sharing practices and infrastructure; maintaining consistent document organization;
  • Facilitate cross-team information flow, as directed, to ensure that Strategy, Comms, Policy, and Operations are fully informed as to Research team activities and developments.

Executive/Administrative Support

  • Provide administrative and logistical support to Senior Leadership Team members, including coordinating schedules and travel, managing conference registrations, handling expense reporting, supporting meeting preparation, and providing other project-related administrative support as needed;
  • Support staff meeting coordination in close collaboration with the Managing Director, Strategy & Engagement, Senior HR Manager, and Chief Operating Officer & Chief Financial Officer, including coordinating and confirming speakers and participants, collecting and distributing meeting materials, taking notes, and tracking follow-up action items.

Skills & Qualifications

Required qualifications

  • Strong internal communications skills, both written and verbal;
  • Strong analytical, quantitative, and problem-solving skills;
  • Attention to detail and strong organizational skills;
  • Effective cross team communication, active listening, and collaboration skills;
  • Experience managing multi-stage organizational projects across a range of stakeholders;
  • Intermediate to advanced proficiency in Microsoft Office, Google Suite, and workflow and project management tools;
  • Ability to explain complex systems and make work presentations to internal groups;
  • Experience providing administrative or executive support to senior leaders preferred;
