Position Summary
The Senior Payroll Specialist is responsible for independently managing complex payroll processing and providing advanced payroll support for Campbell Business Solutions, LLC and its clients.
This position serves as a senior resource within the payroll function and requires strong technical payroll knowledge, exceptional attention to detail, sound judgment, and the ability to identify and resolve payroll issues independently.
The Senior Payroll Specialist will manage multiple client payroll schedules, review payroll information for accuracy and compliance, perform payroll reconciliations, assist with payroll tax and year-end processes, and provide guidance to less-experienced payroll team members.
The ideal candidate is capable of taking ownership of assigned client payroll accounts from payroll preparation through final review while maintaining high standards for accuracy, confidentiality, client service, and deadline management.
Core Responsibilities - Senior Payroll Specialist
- Independently manage weekly, biweekly, semimonthly, and monthly payroll processing for multiple clients.
- Review and verify wages, salaries, hours, deductions, reimbursements, bonuses, commissions, garnishments, and other payroll transactions.
- Review payroll reports and supporting documentation for accuracy before payroll is finalized.
- Manage employee payroll changes, including new hires, terminations, compensation changes, deductions, garnishments, and direct deposit updates.
- Perform payroll reconciliations and research and resolve discrepancies.
- Identify payroll errors, determine appropriate corrective actions, and coordinate corrections when necessary.
- Manage payroll calendars and ensure client payrolls are completed according to established deadlines.
- Communicate directly with clients regarding payroll requirements, discrepancies, deadlines, and processing questions.
- Assist clients and team members with more complex payroll questions and issues.
- Support payroll tax reporting, deposits, notices, amendments, and compliance-related processes.
- Assist with quarterly and year-end payroll processing and reconciliation.
- Review W-2s, 1099s, and other applicable payroll-related reporting for accuracy.
- Coordinate payroll information with bookkeeping and accounting functions to ensure accurate financial records.
- Maintain complete and organized payroll records and supporting documentation.
- Monitor payroll procedures for consistency, accuracy, and efficiency.
- Assist with onboarding new payroll clients and transitioning payroll information into company systems.
- Help develop and maintain payroll procedures, checklists, internal controls, and quality-control standards.
- Review payroll work prepared by Payroll Assistants or Payroll Specialists when assigned.
- Provide training, guidance, and technical support to less-experienced team members.
- Identify opportunities to improve payroll workflows, documentation, automation, and internal processes.
- Escalate significant payroll, tax, compliance, or client issues to management when appropriate.
- Maintain confidentiality of sensitive employee, client, payroll, tax, and financial information.
- Perform other payroll, accounting, and operational responsibilities as assigned.
Required Qualifications
- 3–5 years of payroll processing or closely related payroll/accounting experience preferred.
- Demonstrated ability to independently process payroll accurately and meet strict deadlines.
- Strong understanding of payroll calculations, deductions, taxes, and payroll reporting.
- Experience performing payroll reconciliations and resolving payroll discrepancies.
- Strong Microsoft Excel and general computer skills.
- Experience working with payroll and/or accounting software.
- Exceptional attention to detail and commitment to accuracy.
- Strong organizational, analytical, and problem-solving abilities.
- Excellent verbal and written communication skills.
- Ability to manage multiple client payroll schedules and competing deadlines.
- Ability to exercise sound judgment and determine when issues require management escalation.
- Ability to handle sensitive and confidential employee, client, tax, and financial information appropriately.
- Ability to work independently and take ownership of assigned payroll responsibilities.

Preferred Qualifications
- Experience processing payroll for multiple clients or businesses.
- Experience in a payroll service, bookkeeping, accounting, or professional services environment.
- Advanced experience with payroll platforms and QuickBooks or similar accounting software.
- Experience with payroll tax filings, notices, corrections, and amendments.
- Experience with quarterly and year-end payroll reconciliation and reporting.
- Experience reviewing W-2 and 1099 information.
- Experience onboarding new payroll clients and implementing payroll systems.
- Experience reviewing the work of other payroll team members.
- Experience training or mentoring junior payroll staff.
- Payroll certification or relevant professional training is a plus.
