Pinchin is seeking a Proposal Specialist to join our Proposals team in Canada. Reporting to the Proposal Manager, this is a replacement role for an established position.

Role Overview

As a Proposal Specialist at Pinchin, you’ll be the link that brings our offices together to deliver clear, compelling proposals that win client trust and business. Your Role and Action

Lead the development and coordination of proposal responses for public and private sector opportunities across Canada, helping produce compelling content and ensuring compliance with client requirements and submission deadlines.

  • Support the preparation of bids, qualifications, and marketing submissions for opportunities of varying size and complexity across multiple service lines and regions.
  • Collaborate with cross-functional subject matter experts (SMEs), technical staff, and business development teams to gather, develop, and tailor proposal content to client needs.
  • Manage multiple proposal submissions concurrently, coordinating schedules, deliverables, reviews, and approvals to support successful and timely submissions.
  • Prepare, edit, and format proposal documents, ensuring consistency, accuracy, quality, and alignment with corporate branding standards.
  • Research and analyze solicitation documents, identifying mandatory requirements, evaluation criteria, and submission obligations to support compliant responses.
  • Coordinate the collection and maintenance of resumes, project profiles, corporate information, and other supporting materials required for proposal submissions.
  • Work closely with other Proposal Team members to support workload balancing, proposal reviews, content development, and submission activities as required.
  • Maintain proposal records, lessons learned, and content libraries to support continuous improvement and efficient proposal development.
  • Communicate regularly with internal stakeholders to track proposal progress, resolve information gaps, and ensure all submission requirements are met.

  • Degree or Diploma in Business, Marketing, Communications or Technical Writing; another related degree with relevant experience will also be considered.
  • Previous experience preparing submissions for Federal Government procurement considered an asset
  • Experience using Microsoft CoPilot or equivalent tools in bid analysis and preparation considered an asset
  • 2+ years preparing proposal responses in a B2B environment
  • Strong organizational and time management skills
  • Ability to work on a variety of projects with multiple deadlines
  • Strong writing, proofreading, and editing skills
  • Ability to communicate and work with various levels in an organization
  • Strong knowledge of Microsoft Excel, Word, PowerPoint, and Outlook is required
  • Experience in graphic design would be considered an asset
