Job SummaryThe Product Owner is responsible for turning prioritized product needs into clear, well-formed, schedulable work and driving it cleanly through the delivery lifecycle — from quote and sizing, through sprint development and testing/UAT, to a scheduled, well-communicated release. The Product Owner takes those prioritized needs and makes them buildable, schedulable, testable, and releasable — keeping work flowing predictably and stakeholders informed at every stage.To keep ownership clear between the two product roles:- The Product Manager sets priorities, gathers business requirements, and defines the “why” and the “what” at a business level.
- The Product Owner (this role) translates those requirements into delivery-ready work, manages the backlog and lifecycle, coordinates releases, and communicates capacity and status — the “how” and the “when.”
The two roles collaborate continuously; the Product Owner is the bridge between business intent and the development/testing team’s execution.ResponsibilitiesRequirements & Backlog Readiness- Translate prioritized business requirements from the Product Manager into clear, well-scoped user stories, tasks, and acceptance criteria the team can act on without ambiguity.
- Maintain a healthy, ordered backlog: keep upcoming work refined, estimated, and “ready” ahead of each sprint.
- Run backlog refinement and ensure every item has a clear definition of done before it enters development.
- Be the go-to person for clarifying scope and requirements during development, resolving questions quickly to avoid blocking the team.
Lifecycle & Delivery Management- Own the movement of work through the full lifecycle: quote/sizing → sprint/development → test/UAT → scheduled release.
- Facilitate sizing and estimation with developers, and help produce quotes/estimates where work has a client or commercial dimension.
- Coordinate sprint planning, track in-flight work, and surface blockers and risks early.
- Partner with the testing team to ensure clear, testable acceptance criteria and a smooth, well-defined UAT process.
Release Planning & Capacity Communication- Plan and organize releases: group work into coherent releases, sequence them sensibly, and manage dependencies between items.
- Communicate team capacity, throughput, and realistic timelines to the Product Manager and stakeholders — and set expectations when demand exceeds capacity.
- Maintain a clear, current view of what is in progress, what is scheduled, and what is at risk.
- Coordinate release timing, readiness checks, and go/no-go decisions with development and testing.
Client-Impacting Work- Identify when work affects clients and plan releases to minimize disruption — timing, sequencing, and communication of changes.
- Coordinate change communication so internal stakeholders (and, where relevant, clients) know what is changing and when.
- Raise the bar on UAT discipline and release readiness for anything client-facing, where the cost of defects is higher.
Integration & ETL Projects- Scope and shepherd integration and ETL work involving client-specific APIs and systems — writing clear specifications against external interfaces and data.
- Actively manage external-dependency risk: work that relies on a client’s API, environment, data quality, or availability carries timeline risk that must be planned for and communicated.
- Coordinate with clients and internal engineers to confirm integration requirements, data mappings, and acceptance expectations before build.
AI Product ProjectsAI-related work is growing and behaves differently from standard feature delivery. The Product Owner does not need to be an ML engineer, but must understand the AI delivery process well enough to scope it, set expectations, and define success:- Write metric-based acceptance criteria (e.g., accuracy, confidence thresholds, exception/escalation rates) rather than simple pass/fail criteria.
- Treat data as a first-class dependency — training/test data, labeling, data quality, and privacy/governance — not just code.
- Account for higher uncertainty in sizing: AI work is more discovery- and spike-driven, so estimates are softer and expectations must be set accordingly.
- Plan for probabilistic output: stronger human-in-the-loop review during UAT, and a “done” that may include ongoing monitoring (e.g., model drift, retraining).
Required Qualifications- Minimum 3 to 5 years of experience as a Product Owner or Product Manager, with hands-on experience working in Agile/Scrum environments.
- Experience as a Product Owner, delivery lead, project/program manager, or similar role responsible for moving work through a development lifecycle.
- Strong skills in writing clear requirements and acceptance criteria, and breaking large needs into well-scoped, schedulable work.
- Demonstrated ability to plan and coordinate releases and communicate capacity and timelines to stakeholders.
- Comfort working with a small development and testing team in an agile/iterative environment.
- Enough technical literacy to scope integration/ETL and API-based work and have credible conversations with engineers.
- Excellent written and verbal communication, and a detail-oriented, organized working style.
Preferred Qualifications- Experience in B2B SaaS, document processing, or accounts payable / invoice automation domains.
- Familiarity with client-facing delivery and managing change in a way that minimizes client disruption.
- Exposure to AI/ML product work and comfort defining metric-based success criteria for it.
- Hands-on experience with data integration, APIs, or ETL pipelines.
- Familiarity with agile tooling for backlog, sprint, and release tracking.
What Success Looks Like (First 6 Months)- Work enters development with clear, testable acceptance criteria, and developer questions during a sprint drop noticeably.
- Releases are planned, sequenced, and communicated predictably, with fewer surprises and minimal client disruption.
- Stakeholders have a clear, trusted view of team capacity and realistic timelines.
- AI and integration projects are scoped with appropriate expectations around uncertainty and external dependencies.
Team ContextThis is a small, hands-on team: 3–4 developers and 2 testers. The Product Owner is a central coordinating role — close to the work, close to the team, and close to the Product Manager. Success depends as much on clear communication and organization as on process.
