About the Role
Evolve Physical Therapy is seeking a dependable and detail-oriented HR Assistant to support HR operations for U.S.-based employees. This opportunity may also support the staffing needs of one of our physical therapy partners.
The role will assist with new-hire onboarding, payroll coordination, employee documentation, and student opportunities. The HR Assistant will work closely with leadership and internal teams to provide employees and students with an organized, professional, and welcoming experience.
The ideal candidate is highly organized, comfortable handling confidential information, and capable of managing multiple time-sensitive responsibilities accurately.
Key Responsibilities:
New-Hire Onboarding
Coordinate the onboarding process for newly hired U.S. employees.
Prepare and send offer letters, onboarding instructions, and required employment documents.
Collect and track completed new-hire paperwork, including tax forms, direct deposit information, identification, and other required documents.
Assist with employment eligibility verification and ensure all onboarding requirements are completed on time.
Coordinate company accounts, system access, training schedules, and first-day arrangements.
Maintain onboarding checklists and follow up on outstanding requirements.
Communicate with new hires throughout the onboarding process and answer general questions.
Payroll and Employee Support
Assist with payroll preparation by collecting, reviewing, and organizing employee timekeeping and payroll-related information.
Coordinate with managers and payroll partners regarding missing hours, timekeeping discrepancies, and employee updates.
Help coordinate payroll-related changes involving new hires, terminations, compensation updates, and employee information.
Maintain accurate payroll and employee records.
Respond to routine employee questions regarding payroll schedules, timekeeping, company policies, and HR procedures.
Escalate sensitive or complex payroll and employee matters to the appropriate manager.
Student Opportunities
Assist with coordinating internships, clinical rotations, observation opportunities, and other student programs.
Communicate with students, educational institutions, clinic managers, and internal coordinators regarding placements and requirements.
Collect and organize student documents, agreements, clearances, certifications, and other required records.
Track placement dates, assigned locations, supervisors, and completion status.
Provide students with onboarding information, clinic expectations, and required policies before their start dates.
Help maintain positive relationships with participating schools and academic partners.
HR Administration and Recordkeeping
Maintain accurate and confidential employee files and HR records.
Update HR trackers, organizational lists, and employee information across company systems.
Support employee changes, leave tracking, performance documentation, and offboarding processes.
Assist with drafting HR correspondence, employment confirmations, and internal announcements.
Help ensure HR deadlines, required documents, and compliance-related tasks are properly tracked.
Provide administrative support for HR projects and company initiatives.
Handle employee and company information with discretion and confidentiality.
Qualifications
Bachelor’s degree in Human Resources, Psychology, Business Administration, Management, or a related field is preferred.
Previous experience in HR administration, payroll support, employee onboarding, recruitment coordination, or a similar role.
Experience supporting U.S.-based employees or working with U.S. HR processes is strongly preferred.
Familiarity with onboarding documentation, timekeeping systems, payroll processes, and employee recordkeeping.
Experience in healthcare, physical therapy, or a multi-location organization is an advantage.
Strong written and verbal English communication skills.
Excellent organizational skills and attention to detail.
Ability to manage multiple priorities and meet deadlines with minimal supervision.
Comfortable using Google Workspace, spreadsheets, HR platforms, payroll systems, and communication tools.
Ability to handle sensitive and confidential information professionally.
