The Total Rewards Canada Benefits Specialist is responsible for the administration, compliance, communication, and continuous improvement of employee benefits programs across Canada. This role serves as a key resource to vendors, employees, and People & Culture stakeholders regarding employee benefit programs. The specialist ensures programs are administered accurately, comply with Canadian federal and provincial requirements, and deliver a positive employee experience.

As a Total Rewards Canada Benefits Specialist, you will be responsible for:

Benefits Administration

  • Administer Canadian employee benefit programs, including Extended Health Care, dental, vision, life and AD&D insurance, short-term disability, long-term disability, Employee Assistance Program, and wellness programs.
  • Manage employee enrollments, changes, terminations, beneficiary updates, and eligibility transactions.
  • Coordinate benefit plan data changes and perform regular audits to ensure data integrity and timely processing.
  • Support annual enrollment or renewal activities, including testing, communications, issue resolution, and post-enrollment audits.

Employee Support

  • Educate employees on plan provisions, eligibility requirements, claims processes, and available support resources.
  • Support escalations of complex benefit issues through collaboration with insurance carriers, brokers, vendors, Payroll, and P&C teams.
  • Compliance and Governance
  • Help ensure benefits programs are administered in alignment with applicable Canadian federal and provincial requirements.
  • Maintain current plan documents, policies, procedures, employee communications, and administrative guides.
  • Support regulatory reporting, audit requests, and documentation requirements as needed.
  • Partner with Legal, Payroll, Finance, and P&C teams to implement legislative, policy, or plan design changes.

Vendor Management

  • Work closely with insurers, brokers, consultants, recordkeepers, and third-party administrators.
  • Monitor vendor performance, service issues, and agreed service levels.
  • Escalate and resolve employee-impacting issues in a timely and professional manner.
  • Support annual renewals, vendor reviews, market checks, and implementation of vendor changes.

Benefits Operations and Analytics

  • Analyse benefits utilization, participation, eligibility, and cost trends.
  • Prepare recurring and ad hoc reports, dashboards, metrics, and presentations for P&C and leadership stakeholders.
  • Identify opportunities to improve process efficiency, quality controls, employee experience, and program effectiveness.
  • Maintain standard operating procedures and support continuous improvement of benefits operations.

Project Support

  • Participate in benefits integration, harmonization, system implementation, and process improvement projects.
  • Assist with mergers, acquisitions, divestitures, workforce changes, and organizational design changes that impact benefits.
  • Support new program launches, communications, testing, change management, and post-implementation stabilization.
  • Managing relationships with external vendors and consultants to optimize the delivery and effectiveness of Total Rewards programs.
  • Analysing data and metrics to assess the effectiveness and competitiveness of Total Rewards programs, providing insights for continuous improvement.
  • Ensuring compliance with all applicable laws and regulations related to compensation and benefits on a global scale.

Fuel your passion

To be successful in this role you will:

Education

  • Bachelor's degree in Human Resources, Business Administration, Finance, or a related field preferred.
  • CEBS, GBA, CHRP, or related professional designation considered an asset.

Experience

  • 3 to 5 years of benefits administration experience, preferably supporting Canadian employee populations.
  • Experience with group insurance plans, disability management, leaves, and vendor coordination.
  • Experience using HRIS, payroll, case management, and benefits administration systems.

Knowledge and Skills

  • Strong understanding of Canadian employee benefits and health and welfare programs.
  • Working knowledge of provincial employment standards, leave requirements, disability management, and benefits administration practices.
  • Strong analytical, problem-solving, written communication, and customer service skills.
  • Advanced proficiency in Microsoft Excel, Word, and PowerPoint.
  • Ability to handle confidential information with discretion and sound judgment.
  • Strong attention to detail, organizational discipline, and ability to manage competing priorities.

Preferred Experience

  • Experience supporting a national Canadian workforce across multiple provinces.
  • Experience working with benefits brokers, insurers, and third-party administrators.
  • Exposure to Workday, SAP SuccessFactors, Oracle HCM, or similar P&C platforms.
  • Experience in a multinational organization or complex matrix environment.
