The Payments & Recovery Specialist will manage international medical provider payments, investigate questionable invoices, and negotiate medical bills. They will also pursue recovery and subrogation opportunities while collaborating with internal teams to prevent fraud and ensure cost containment.

about us: battleface is building a humanity-focused travel insurance company to bring people and the world together. For too long, travel insurance has centered on the company and not the traveler. We’re changing that by connecting people with customized coverage at the right price, exactly when and where they need it.

Our global assistance arm, Robin Assist, powers the 24/7 support, medical coordination, and claims services that travelers rely on — not just for battleface, but across the industry. Together, we’re setting new standards for how travelers are cared for worldwide.

about the role: we're looking for a Payments & Recovery Specialist to manage international medical provider payments, investigate questionable invoices, negotiate medical bills, and pursue recovery and subrogation opportunities on behalf of our insurance partners.

This is not a traditional accounts payable position. We're looking for someone who can investigate, negotiate, challenge costs, and take ownership of complex cases involving hospitals, medical providers, insurers, legal representatives, and third-party administrators around the world.

You'll work closely with our Medical Assistance, Claims, Finance, and Fraud teams to ensure invoices are legitimate, charges are reasonable, payments are accurate, and recovery opportunities are pursued.

The right person is analytical, commercially minded, detail-oriented, and comfortable challenging providers when something doesn't add up. You'll need to be confident communicating with international hospitals, negotiating settlements, investigating potential fraud, and managing cases through to resolution.

what you'll do:

Medical Provider Payments & Invoice Management

  • Review and validate medical invoices from hospitals, clinics, physicians, and other healthcare providers worldwide.
  • Verify patient details, treatment dates, medical services, invoice accuracy, and supporting documentation.
  • Review medical charges for reasonableness, identify duplicate billing, inflated costs, unnecessary services, and billing discrepancies.
  • Negotiate medical bills, discounts, and full-and-final settlements with international providers.
  • Coordinate payments with Finance, ensuring invoices are approved, properly documented, and paid within agreed timelines.
  • Verify international banking instructions, beneficiary details, SWIFT/IBAN information, and payment requirements before releasing payments.
  • Maintain accurate payment records, track outstanding invoices, and resolve provider payment disputes.
  • Ensure applicable deductibles, patient responsibilities, and agreed discounts are correctly applied.

Cost Containment & Provider Negotiations

  • Research local medical pricing and benchmark charges against reasonable and customary costs.
  • Negotiate directly with hospitals, medical networks, and billing intermediaries to reduce medical expenses.
  • Review high-value medical invoices and challenge questionable treatment costs, procedures, and lengths of stay.
  • Identify opportunities to improve provider payment terms and negotiate better commercial arrangements.
  • Track negotiated savings and report cost containment results to management and insurance partners.
  • Escalate unusual billing patterns, excessive charges, or suspected provider misconduct.

Recovery & Subrogation

  • Identify opportunities to recover medical and claims expenses from responsible third parties, insurers, and other sources.
  • Investigate liability involving accidents, hotels, transportation providers, medical facilities, and other third parties.
  • Coordinate recovery efforts with liability insurers, legal representatives, and international claims organizations.
  • Review accident reports, police documentation, insurance policies, medical records, and other evidence supporting recovery.
  • Pursue coordination of benefits and recoveries from primary or overlapping insurance coverage.
  • Prepare recovery demands, negotiate settlements, and track outstanding recovery balances.
  • Work with external legal counsel when formal recovery or litigation is required.
  • Maintain accurate subrogation records and report recovery results to insurance partners.

Fraud Prevention & Invoice Verification

  • Investigate potentially fraudulent medical invoices, fabricated documentation, and suspicious payment requests.
  • Independently verify hospital legitimacy, provider credentials, patient admissions, and medical billing information.
  • Identify suspicious patterns involving repeat admissions, inflated treatment charges, altered invoices, and unusual payment arrangements.
  • Conduct provider due diligence using independent sources, official records, and direct hospital verification.
  • Collaborate with our Fraud and Claims teams to investigate suspicious claims and recommend appropriate action.
  • Document investigation findings and maintain clear evidence supporting payment or recovery decisions.

Reporting & Operational Improvement

  • Maintain accurate records of payments, negotiations, recoveries, and investigations in our claims management systems.
  • Monitor outstanding payment obligations, recovery opportunities, and overdue cases.
  • Prepare regular reporting on payment volumes, negotiated savings, recovery performance, and suspected fraud.
  • Identify process improvements and opportunities to automate invoice review, verification, and payment workflows.
  • Support the development of internal procedures for international provider payments, cost containment, and subrogation.

what we're looking for:

  • 3+ years of experience in travel insurance, medical assistance, claims administration, healthcare billing, cost containment, or insurance recoveries.
  • Experience reviewing and negotiating medical invoices, ideally involving international healthcare providers.
  • Understanding of insurance claims, medical billing, subrogation, and coordination of benefits.
  • Strong negotiation skills and confidence challenging unreasonable charges and resolving disputes.
  • Familiarity with international payments, banking verification, and cross-border transactions.
  • Ability to review medical documentation, financial records, and insurance policies.
  • Strong investigative and analytical skills with excellent attention to detail.
  • Excellent written and verbal English communication skills.
  • Comfortable working independently and managing multiple complex cases simultaneously.
  • Proficiency with claims management systems, spreadsheets, and digital collaboration tools.
  • Willingness to work across international time zones and communicate with providers worldwide.

nice to have:

  • Experience working for a travel insurance company, third-party administrator (TPA), medical assistance company, or international medical cost containment organization.
  • Previous responsibility for medical bill negotiation, provider fraud investigations, or subrogation recoveries.
  • Familiarity with international healthcare systems and medical pricing.
  • Experience working with external legal counsel and liability insurers.
  • Additional languages, particularly Spanish, French, or Portuguese.
  • Experience using AI tools, document analysis, and automated verification systems.

what success looks like:

  • Medical invoices are reviewed, verified, and processed accurately and on time.
  • Unreasonable medical charges are challenged and negotiated before payment.
  • Provider relationships are maintained while protecting our insurance partners from unnecessary costs.
  • Recovery and subrogation opportunities are identified early and actively pursued.
  • Suspicious invoices and fraudulent payment requests are identified before funds are released.
  • Payment backlogs are minimized, and every outstanding case has a clear next action.
  • Measurable savings and recoveries are delivered to our insurance partners.

why join us:

  • You'll be joining a fast-growing international insurance and assistance business where your work has a direct financial and operational impact.
  • You'll have the opportunity to take ownership of complex international cases, negotiate with providers around the world, develop recovery strategies, and help build smarter, technology-driven payment and fraud prevention processes.
  • We're looking for someone who takes initiative, solves problems, and doesn't need to be told what to do next. If you enjoy investigating complex cases, negotiating solutions, and finding ways to make insurance operations more effective, we'd like to hear from you.
