Your Mission

We’re looking for a detail-oriented, organised, and proactive Order Ops Specialist to support our sales operations and commercial workflows. In this fully remote role, you’ll generate quotes, maintain HubSpot CRM hygiene, prepare deals, and support order provisioning. You’ll work closely with internal teams to ensure smooth execution and accurate data management.

You’ll bring a solid understanding of commercial principles, including margins and revenue recognition, and thrive in a fast-paced environment that calls for responsiveness, adaptability, and close attention to detail.

Your Responsibilities

• Quote Management & Adjustments: Generate, update, and adjust commercial quotes accurately based on deal requirements.
• HubSpot CRM Maintenance: Maintain CRM organization and database hygiene to ensure pipeline data and deal records are accurate and up-to-date.
• Deal Preparation: Prepare deals and documentation for internal review, approval, and closing.
• Commercial Analysis: Apply commercial basics (e.g., margins, revenue rules) to review quote structures and deal terms.
• Order Provisioning: Perform light order provisioning tasks to ensure smooth handoffs and fulfillment.
• Cross-Functional Communication: Collaborate asynchronously and synchronously with team members using Slack and Google Workspace.

• Attention to Detail: Meticulous accuracy when working with quotes, pricing models, and data entry.
• Organization & Responsiveness: Excellent time-management skills with the ability to manage priorities and respond promptly in a remote setting.
• Proactivity: Strong initiative to identify missing information, streamline processes, and solve problems independently.
• Adaptability & Patience: Ability to pivot when deal parameters change while maintaining composure and consistency.

Nice-to-haves:

• Experience with HubSpot CRM (managing deals, contacts, and quotes).
• Proficiency in Google Workspace (Google Docs, Sheets, Drive, Gmail).
• Working knowledge of Slack for daily team communication and collaboration.
