Marketing Operations Assistant

at AtlasBrands | Remote – Worldwide

About AtlasBrands

AtlasBrands is a holding company building and scaling the next generation of direct-to-consumer (DTC) health and wellness brands.

We specialize in identifying high-potential products, building compelling brands, and scaling them through performance marketing, creative strategy, and operational excellence.

We're a fast-growing company operating in a high-performance environment where execution, ownership, and speed matter. Our goal is to build a portfolio of successful brands by bringing together talented people who know how to move quickly, solve problems, and deliver measurable results.

About the Role

We're looking for a highly organized, resourceful, and execution-driven Marketing Operations Assistant to become the operational backbone of our marketing team.

You'll work directly with our Head of Meta, acting as their right hand and helping ensure that day-to-day marketing operations run smoothly, efficiently, and without unnecessary bottlenecks.

This isn't a traditional assistant role where you'll simply wait for instructions or complete repetitive administrative tasks. You'll take ownership of the systems and processes that keep our marketing team moving, including ad scheduling, tracking sheets, reporting, comment extraction, and campaign coordination.

Beyond daily operations, you'll also help build new initiatives from the ground up, including UGC sourcing, influencer outreach, competitor research, and other high-priority projects.

You'll be expected to take ownership of tasks from start to finish, figure things out independently, and proactively identify ways to improve how things are done.

The goal is simple: take work off the team's plate, execute it completely, and make the marketing operation more efficient as we scale.

We're looking for someone who:

  • Takes initiative instead of waiting to be told what to do.
  • Can manage multiple priorities without losing track of details.
  • Moves quickly without sacrificing accuracy.
  • Is comfortable figuring things out independently.
  • Looks for ways to improve systems, processes, and workflows.
  • Takes full ownership of assigned responsibilities and follows through.

If you need constant supervision, prefer highly structured and predictable work, or struggle to keep up with a fast-moving environment, this probably isn't the right fit.

If you're someone who naturally takes initiative, enjoys solving problems, and gets satisfaction from making things happen, we'd love to hear from you.

Key Responsibilities

1. Marketing Operations & Execution

  • Own the day-to-day operational tasks that support the marketing and paid media team.
  • Manage ad scheduling and ensure campaigns and creatives are organized and scheduled accurately and on time.
  • Maintain tracking sheets, campaign trackers, and internal marketing documentation.
  • Handle comment extraction and organization from advertising campaigns to help the team gather customer feedback, identify recurring questions, and uncover insights.
  • Assist with reporting and data organization, ensuring marketing information is accurate, updated, and accessible.
  • Monitor recurring operational processes and make sure nothing falls through the cracks.

2. UGC & Influencer Coordination

  • Build and manage a pipeline of UGC creators and influencers from scratch.
  • Research and identify relevant creators who align with the company's products, target audiences, and brand positioning.
  • Conduct creator and influencer outreach, manage follow-ups, and track responses.
  • Coordinate content requests, deliverables, timelines, and communication with creators.
  • Maintain organized creator databases and outreach trackers.
  • Help establish repeatable processes for sourcing, onboarding, and coordinating creators.

3. Competitor & Market Research

  • Conduct ongoing competitor research across relevant DTC, e-commerce, health, and wellness brands.
  • Monitor competitor advertising activity, creative angles, messaging, offers, and promotional strategies.
  • Identify emerging trends, customer feedback, and potential opportunities that could support marketing initiatives.
  • Organize research findings into actionable reports and resources for the marketing team.
  • Support ad hoc research projects as new opportunities arise.

4. Meta Campaign Support

  • Provide operational support to the Head of Meta and paid media team.
  • Assist with campaign preparation, creative organization, scheduling, and launch-related tasks.
  • Help monitor campaign execution and flag operational issues or discrepancies.
  • Ensure creative assets, campaign information, and supporting documents are properly organized.
  • Coordinate with relevant team members to keep campaign-related tasks moving forward.

5. Project & Team Coordination

  • Take ownership of ad hoc marketing projects and execute them from start to finish.
  • Coordinate with Creative Strategists, Media Buyers, Editors, and other team members to ensure deliverables are completed on time.
  • Follow up on pending tasks, outstanding deliverables, and dependencies.
  • Proactively communicate progress, potential delays, and issues that require attention.
  • Step in to handle tasks that fall outside existing ownership when they are important to the team's overall execution.

6. Systems, Process Improvement & Automation

  • Identify operational bottlenecks and recommend ways to improve existing workflows.
  • Build and maintain organized systems, trackers, templates, and documentation.
  • Look for opportunities to reduce repetitive manual work through AI tools and automation.
  • Use tools such as ChatGPT and Claude to accelerate research, reporting, documentation, and problem-solving.
  • Continuously improve the accuracy, speed, and reliability of marketing operations.

Requirements

  • 3+ years of experience in marketing operations, marketing assistance, project coordination, or a similar execution-focused role.
  • Experience working with DTC, e-commerce, performance marketing, or direct-response brands is a strong advantage.
  • Familiarity with paid advertising, particularly Meta Ads, and an understanding of how marketing campaigns operate.
  • Experience with spreadsheets (Google Sheets or Excel), trackers, reporting, and organizing large amounts of information.
  • Strong research skills, particularly in competitor analysis, creator sourcing, and market research.
  • Excellent organizational and time-management skills, with the ability to handle multiple priorities simultaneously.
  • High attention to detail and the ability to maintain accuracy across operational tasks and documentation.
  • Highly resourceful and comfortable figuring things out without requiring step-by-step instructions.
  • Strong sense of ownership and accountability, with a track record of following tasks through to completion.
  • Fast executor who can work under pressure and adapt to changing priorities.
  • Comfortable using AI tools such as ChatGPT and Claude to improve productivity and workflows.
  • Clear written and verbal communication skills, especially when coordinating with internal teams, creators, and external contacts.
  • Proactive mindset with a genuine interest in improving systems and finding better ways to get things done.

What Success Looks Like

In this role, success means becoming someone the marketing team can rely on without needing to constantly check in or follow up.

Within your first few months, you'll be expected to:

  • Independently manage recurring marketing operations with minimal supervision.
  • Keep campaign trackers, reports, schedules, and internal documentation accurate and up to date.
  • Establish an organized and consistently maintained UGC and influencer sourcing pipeline.
  • Deliver competitor research and operational support that the marketing team can immediately use.
  • Execute assigned projects on time and communicate proactively.
  • Identify inefficiencies and implement improvements that save the team time.
  • Consistently reduce the operational workload of the Head of Meta and other marketing team members.

Ultimately, we want someone who doesn't just complete tasks but makes the entire marketing operation run better.
