AI Summary

The Maintenance Engineer will manage property service requests by virtually diagnosing issues and dispatching local vendors for repairs. They are responsible for coordinating inspection logistics, reviewing vendor invoices, and ensuring quality assurance for all completed work orders.

We are seeking a proactive, highly organized, and detail-oriented Maintenance Engineer to oversee daily property service requests, vendor dispatch, and operational logistics. In this fully remote position, you will be responsible for receiving incoming maintenance requests, virtually assessing the situation, scheduling appropriate local vendors, and following up to ensure timely resolution.

We are looking for strong problem-solving skills, excellent communication, vendor management abilities, and high operational efficiency to manage property service workflows remotely.

Key Responsibilities

Request & Logistics Management

  • Request Handling: Receive, log, and prioritize daily tenant/occupant repair requests, service inquiries, and support tickets.
  • Virtual Problem Diagnosis: Communicate with occupants to gather clear details, photos, or videos to understand the issue and identify the right service provider needed.
  • Vendor Dispatch & Scheduling: Contact, schedule, and assign appropriate third-party vendors or local technicians to resolve issues, coordinating access with property occupants.
  • Inspection Logistics: Coordinate schedules and log appointments for property inspections between occupants, local team members, and third-party inspectors (you will schedule and track logistics, not conduct physical walk-throughs).
  • Emergency Escalation: Serve as the primary remote point of contact for urgent property issues, quickly dispatching local emergency contractors to minimize damage or risk.

Vendor & Contractor Management

  • Vendor Sourcing & Coordination: Identify, reach out to, schedule, and follow up with external contractors and service providers (e.g., plumbers, electricians, HVAC specialists, locksmiths, pest control).
  • Service Follow-up & Quality Assurance: Review vendor job reports, completion notes, and photos remotely to verify that requested work was completed satisfactorily before closing tickets.
  • Cost & Invoice Review: Request quotes, review pricing for reasonableness, track service costs, and verify vendor invoices against completed work order details.
  • Vendor Relationship Building: Maintain an organized database of reliable local service providers, contractors, and suppliers.

Qualifications & Requirements

  • Experience: 2–4 years of experience in Operations, Engineering, Logistics, Customer Service, Dispatch, or Administrative Project Management.
  • Vendor Management: Proven ability to source, communicate with, schedule, and manage external vendors or service providers remotely.
  • Problem-Solving Skills: Strong diagnostic capabilities and logical reasoning to ask the right questions, troubleshoot issues remotely, and determine practical solutions.
  • Communication: Excellent written and verbal English skills to interact professionally with occupants, property managers, and external contractors.
  • Organizational Skills: Exceptional capacity to multi-task, prioritize high-urgency requests, track status across multiple open work orders, and maintain clean digital logs.
  • Tech-Savvy: Comfortable learning and using cloud-based software, ticketing platforms, communication tools, and work order management systems.
