AI Summary

The Virtual Assistant will manage LinkedIn marketing and lead generation activities, focusing on building relationships and nurturing prospects to generate qualified business opportunities. They will also support broader marketing tasks, including content scheduling, email campaigns, and maintaining prospect databases.

This is a remote position.

About the Client

An Australian bid strategy, tender writing and consulting business founded by Jane Korn CF APMP and based in Melbourne, Victoria.

Bid Fusion works with organisations competing for complex government and corporate contracts, helping them improve their bid strategy, positioning, proposal quality and overall pursuit capability. The business works across sectors including facilities management, professional services, financial services/fintech, architecture, ICT, defence and security, government, health and other industries where competitive tendering is important.

The business is looking for a proactive and commercially minded LinkedIn Marketing & Lead Generation VA who can help increase brand visibility, build relationships with prospective clients and generate qualified business opportunities through organic LinkedIn activity and targeted messaging.

Position Overview

The VA will support Bid Fusion's LinkedIn marketing, organic lead generation, prospect engagement and nurturing activities.

The primary objective is not simply to generate a high volume of leads. The focus will be on quality conversations, relationship building, nurturing prospects and ultimately generating opportunities that can convert into clients.

The ideal VA should understand that LinkedIn lead generation is a relationship-building process rather than simply sending connection requests or generic sales messages.

The VA will work closely with Jane to ensure messaging reflects Bid Fusion's expertise, positioning, tone of voice and target market.

Primary Objectives

The VA will be responsible for helping Bid Fusion:

  • Increase brand awareness and visibility on LinkedIn.
  • Build and maintain a strong LinkedIn presence.
  • Identify and engage relevant prospective clients.
  • Generate leads through LinkedIn messaging.
  • Nurture prospects through authentic and relevant conversations.
  • Turn existing prospect lists into meaningful LinkedIn outreach opportunities.
  • Support website and business-page lead generation.
  • Increase engagement with Bid Fusion's target audience.
  • Generate qualified conversations that can ultimately lead to discovery calls and new business.
  • Support broader marketing activities when required.

Key Success Measure

The ultimate objective is lead generation that contributes to closed business, rather than vanity metrics alone.

The VA should therefore understand the full journey:

Prospect identification → Connection → Engagement → Conversation → Nurturing → Qualified opportunity → Discovery call → Potential client

Key Responsibilities

1. LinkedIn Lead Generation

The VA will:

  • Use LinkedIn to identify potential clients and relevant decision-makers.
  • Work from the client's existing lead/prospect lists.
  • Research prospects and companies before outreach.
  • Identify appropriate decision-makers and influencers.
  • Review prospect profiles and company information.
  • Determine whether prospects fit Bid Fusion's target market.
  • Build and maintain an organised prospect pipeline.
  • Track outreach activity and prospect status.
  • Identify new prospects where appropriate.
  • Research organisations that may have upcoming tendering, procurement or bid requirements.
  • Look for opportunities to engage with organisations that could benefit from Bid Fusion's services.

Because Bid Fusion operates in complex tendering and procurement environments, the VA should be comfortable researching organisations and understanding enough context to identify relevant prospects. Bid Fusion itself takes a research-led approach to understanding buyers, procurement drivers and evaluation environments. BBid Fusion Consulting & Coaching

2. LinkedIn Messaging & Outreach

This is one of the most important responsibilities of the role.

The VA will:

  • Send LinkedIn connection requests to relevant prospects.
  • Develop and/or follow approved messaging sequences.
  • Personalise outreach based on the prospect's role, company and circumstances.
  • Engage prospects in natural, professional conversations.
  • Follow up appropriately.
  • Avoid overly aggressive or generic sales messaging.
  • Nurture prospects who are not immediately ready to buy.
  • Respond to basic LinkedIn enquiries and conversations based on approved guidelines.
  • Identify when a prospect is showing buying intent.
  • Escalate warm or highly qualified prospects to Jane.
  • Maintain accurate records of conversations and follow-ups.

The VA should be able to communicate in a way that feels human, intelligent, professional and consultative.

The client specifically wants the approach to be more organic and nurturing, rather than high-volume, transactional outreach.

3. Prospect Nurturing

The VA should not treat a prospect who does not immediately respond as a lost lead.

Responsibilities include:

  • Maintaining follow-up schedules.
  • Re-engaging previous connections.
  • Monitoring responses.
  • Identifying opportunities to engage with prospects' posts.
  • Sharing or referencing relevant Bid Fusion content when appropriate.
  • Building familiarity and trust over time.
  • Keeping warm prospects within an organised pipeline.
  • Identifying when a prospect may be ready for a conversation.
  • Providing Jane with updates on promising prospects.

The successful candidate should understand that some LinkedIn relationships may take weeks or months to convert.

4. LinkedIn Brand Awareness & Engagement

The VA will help increase the client's visibility by:

  • Engaging with relevant LinkedIn posts.
  • Identifying conversations relevant to bidding, tenders, procurement, business growth and related topics.
  • Commenting thoughtfully on relevant posts where appropriate.
  • Engaging with target companies and decision-makers.
  • Supporting audience growth.
  • Monitoring relevant industry conversations.
  • Helping ensure Bid Fusion remains visible to its target audience.

The VA should be able to distinguish between meaningful engagement and generic comments that could damage the brand.

5. LinkedIn Content & Marketing Support

Content creation is not the primary responsibility, but the VA may be asked to assist with marketing activities when needed.

Possible responsibilities include:

  • Supporting LinkedIn marketing posts.
  • Scheduling approved LinkedIn content.
  • Repurposing existing Bid Fusion content.
  • Supporting LinkedIn newsletters.
  • Assisting with content research.
  • Preparing basic marketing posts.
  • Supporting email campaigns.
  • Formatting or preparing content for publishing.
  • Creating simple supporting graphics where required and within the VA's skill set.
  • Repurposing existing articles, newsletters or insights into social media content.

The client already publishes thought-leadership content, covering subjects such as capture, bid health, pitch decks, rebids and bid capability.

The VA should therefore be comfortable working with professional, thought-leadership-oriented content, rather than purely promotional social media.

6. Marketing Support

When required, the VA may support:

  • Email campaigns.
  • Newsletter distribution.
  • Marketing campaigns.
  • LinkedIn newsletters.
  • Content scheduling.
  • Basic campaign administration.
  • Prospect database updates.
  • Marketing research.
  • Campaign tracking.
  • Content repurposing.

These activities will be secondary to the core LinkedIn lead generation and nurturing function.

7. Ontraport

The client uses Ontraport and is interested in understanding how a VA could potentially incorporate the platform into the lead-generation process.

Important: The VA does not necessarily need to be an Ontraport expert from day one, but experience with Ontraport or comparable CRM/marketing automation platforms would be a strong advantage.

8. Reporting & Tracking

The VA should maintain clear records of:

  • New prospects researched.
  • Connection requests sent.
  • Connections accepted.
  • Messages sent.
  • Follow-ups completed.
  • Responses received.
  • Positive/warm responses.
  • Qualified leads.
  • Appointments or discovery calls generated.
  • Prospect status.
  • Key conversations or opportunities requiring Jane's attention.

The VA should provide regular updates so Jane can understand:

What was done → What happened → What opportunities were generated → What should happen next

Ideal Candidate Profile

Required Skills

The ideal candidate should have:

  • Strong LinkedIn experience.
  • Previous experience in LinkedIn lead generation.
  • Experience with LinkedIn outreach and messaging.
  • Strong written English.
  • Excellent communication skills.
  • Strong research skills.
  • Ability to identify and qualify prospects.
  • Strong attention to detail.
  • Good organisational skills.
  • Ability to maintain lead/prospect databases.
  • Understanding of lead nurturing.
  • Ability to write personalised, professional messages.
  • Ability to follow up consistently.
  • Ability to work independently.
  • Strong judgement when communicating with prospects.
  • Commercial awareness.
  • Ability to learn new platforms quickly.

Strongly Preferred

  • Experience with Ontraport.
  • Experience with CRM systems.
  • Experience with marketing automation.
  • Experience with email marketing.
  • Experience with B2B lead generation.
  • Experience with professional services.
  • Experience working with consultants, coaches or B2B service providers.
  • Experience with Australian clients/markets.
  • Experience with LinkedIn newsletters.
  • Experience with content marketing.
  • Experience with email campaigns.

Personality & Work Style

This is particularly important for this client.

The preferred VA should be:

  • Proactive rather than waiting for instructions.
  • Commercially minded and able to understand the purpose behind the activity.
  • Relationship-oriented rather than focused purely on volume.
  • Professional and polished in written communication.
  • Confident but not pushy.
  • Detail-oriented.
  • Research-driven.
  • Organised and consistent with follow-ups.
  • Adaptable and willing to learn.
  • Comfortable working independently.
  • Able to exercise judgement before sending messages.
  • Comfortable communicating with senior business professionals and decision-makers.

The VA should represent the client professionally because LinkedIn outreach will often be the first interaction a prospect has with the business.
