Healthcare Virtual Assistant – Orthodontic Insurance Verification Specialist (Onsite/Remote)

About the Role:



Snapscale is looking for a detail-oriented Healthcare Virtual Assistant (HVA) specializing in Orthodontics to support a high-volume, multi-location US orthodontic practice. Phase one of this role focuses exclusively on non-patient-facing insurance verification, benefit breakdown, and accurate data entry.

The ideal candidate possesses deep orthodontic industry knowledge, high data-entry accuracy, and direct experience navigating Cloud 9 software under strict accuracy protocols.

Responsibilities may include:



• Perform detailed insurance benefit lookups for new patient exams across multiple clinic locations
• Accurately extract and enter benefit data into Cloud 9 (annual maximums, percentage coverage, age limits, network status, etc.)
• Cross-reference insurance details using Podium call transcripts and system recordings to guarantee 100% verification accuracy
• Input patient medical history forms received via the patient portal directly into Cloud 9 Ortho
• Follow up on pending pre-authorizations and required pre-exam dental hygiene steps
• Assist with potential expansion into block-scheduling and inbound call coordination in future phases

Requirements

• Direct experience in an Orthodontic practice/setting is strictly required
• Hands-on experience with Cloud 9 Ortho software is required
• Proven track record in US dental/orthodontic insurance verifications, fee schedules, and benefit breakdowns
• Exceptional data-entry accuracy and attention to detail
• Strong written English communication skills
• Highly structured, methodical, and process-driven mindset
• Must work from an authorized controlled office environment (SafeBase Initiative™)
