This is a remote position.
Role Overview:
We are seeking a proactive, highly organized, and versatile General Virtual Assistant to provide dedicated administrative, organizational, outreach, CRM, and light creative support to a growing small business.
This role is ideal for someone who can take initiative, identify what needs to be done, and independently improve systems and processes rather than waiting for detailed instructions. The successful candidate will become a trusted right hand, helping streamline day-to-day operations and freeing up the business owner to focus on higher-value priorities.
The ideal candidate will also be comfortable working alongside an existing fractional business/marketing strategist and taking direction from them when appropriate.
Scope of Work:
1. Administrative & Organizational Support
- Manage and stay on top of incoming emails and administrative follow-ups.
- Organize and maintain Google Drive, files, folders, and documents.
- Clean up existing file structures and introduce practical, sustainable systems.
- Help systemize recurring administrative tasks and workflows.
- Assist with invoicing and other routine administrative activities.
- Identify repetitive or time-consuming tasks that can be streamlined or delegated.
- Proactively suggest improvements to organization and day-to-day business processes.
2. CRM & Outreach
- Maintain and make effective use of the existing Brevo CRM.
- Organize and update CRM records and workflows.
- Support business outreach and follow-up activities.
- Help develop and maintain consistent outreach processes.
- Conduct basic research and assist with identifying relevant contacts or opportunities.
- Ensure follow-ups and outreach activities are tracked appropriately.
3. Basic Creative & Presentation Support
- Create and edit professional presentations and slide decks using PowerPoint/Google Slides.
- Create basic graphics and visual assets using Canva.
- Support basic Instagram/marketing-related tasks as directed.
- Follow the existing brand guidelines, including brand fonts, visual style, and other established assets.
- Adapt existing brand materials rather than developing a new brand or social media strategy.
- Work collaboratively with the existing marketing/branding support person to execute agreed-upon creative tasks.
4. General Business Support
- Provide flexible assistance across administrative, outreach, CRM, and creative tasks as business priorities change.
- Take ownership of assigned areas and proactively identify opportunities to add value.
- Help build systems and processes that can scale as the business grows.
- Become increasingly involved in the business over time, with potential to grow into a full-time position.
Qualifications & Ideal Candidate:
Required:
- Previous experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, or in a similar generalist role.
- Strong organizational and time-management skills.
- Excellent written and verbal English communication.
- Comfortable working independently with minimal supervision.
- Strong attention to detail and ability to follow through on tasks.
- Ability to prioritize competing tasks and manage deadlines.
- Experience with administrative support, CRM management, outreach, and basic creative work.
- Ability to learn new systems and tools quickly.

- The ideal candidate should not require significant hand-holding. The purpose of the role is to reduce the owner's workload, not create additional management responsibilities.
Tools Required, candidates should have experience with, or be comfortable learning:
- Brevo – CRM and outreach
- Google Workspace, including:
- Google Drive
- Google Docs
- Google Sheets
- PowerPoint / Google Slides
- Canva
- Instagram – basic content/administrative support
- LinkedIn – basic outreach/research
- Email and general online business tools
- Experience with additional CRM, project management, productivity, or creative tools is a plus.
Shifts & Hours:
- Part-time: Starting with a minimum 10 hours per week; fixed shift
- Proposed starting schedule: Approximately 2 hours per day, Monday–Friday, initially.
- Preferred working hours: Approximately 9:30 AM–11:30 AM Singapore Time (SGT).
- A brief check-in with the business owner is expected at approximately 9:30 AM SGT each working day.
- The exact schedule may be reviewed and adjusted after the initial period based on workload and business needs.
- Additional hours may be arranged when required.
- There is potential to increase to full-time as the business grows and the right candidate demonstrates strong performance and fit.
Target Start Date:
- As soon as the right candidate is identified: There is no immediate rush to hire. The priority is finding the right long-term fit, with the intention of building a strong working relationship and potentially transitioning the successful candidate to full-time.
