BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
To achieve integrated supply chain management, WFP has developed the Logistics Execution Support System (LESS) that integrates the supply chain, the inventory accounting and real-time tracking systems. The Support Specialists deliver business and technical support to CO/RB/HQ staff concerning LESS processes.
ACCOUNTABILITIES/RESPONSIBILITIES
Under the overall supervision of Head of D-Base unit, SCDL and under the direct supervision of the Support Coordinator, the Support Specialist will ensure timely and efficient support is provided, tests are executed in a timely and accurate manner, master data created and maintained according to the operational set up and support repository and tools, e.g. GSM are always kept updated. The Support Specialist will provide training and on-the-job training in HQ/RB/Cos. Especially in the Country Offices requiring support to achieve Real time commodity tracking.
Detailed KEY ACCOUNTABILITIES:
1. Receive and analyse support requests from CO/RB/HQ;
2. Monitor status of support requests and ensure proper and timely follow up;
3. Deliver business and technical support to CO/RB/HQ staff post implementation of LESS;
4. Delivery on-the-job training and/or classroom training in-house and in the field;
5. Provide support to requestors in the form of “how to” feedback, user guides, procedures and protocols;
6. Take actions to address specific support requests related to master data management and data analysis;
7. Propose improvements to WFP Supply Chain Master Data management processes;
8. Prepare draft guidelines for key processes;
9. Liaise with the dedicated IT Business Analyst to correct system errors (fixes) and perform tests prior to releasing the changes to SAP production environment;
10. Ensure support tools are correctly and promptly updated to reflect actual status of support;
11. Contribute to support’s knowledge management process and repository;
12. Contribute to project team capacity building by ensuring knowledge transfer/training;
13. Perform periodical status reports to monitor LESS usage and data quality;
14. Perform periodical status reports to monitor Country Offices’ performance;
15. Contribute to the monitoring and evaluation of the effectiveness of the support strategy by suggesting and implementing agreed upon Key Performance Indicators (KPI);
16. Contribute to the development, design and implementation of Support tools, standards and templates in line with the agreed support strategy;
17. Suggest improvements and refinements to processes and procedures to Support Management Team;
18. Support data entry function for processes not de-centralised, i.e. Overland Insurance, Food airlifts, etc.
19. Extract, consolidate and prepare Insurance reports for INS and RMFG;
20. Any other task as required.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education:
• University degree in Business Administration, Sales, Retail, Supply Chain Management, Marketing or other related fields, or High School Diploma with additional relevant work experience and/or training/courses.
Experience:
• At least 5 years’ experience in the sector of logistics, warehouse and distribution.
• Understanding of Warehouse and Tracking & Distribution systems.
• Ability to train staff.
• Excellent communication skills, both written and verbal
• Good training skills, hardworking, calm, mature, logical, culturally sensitive, result oriented and interest in humanitarian development
• Excellent Computer Skills
Knowledge & Skills:
Experience in supply chain processes; planning, sourcing delivering and service provision.
Languages:
English
