The Role
As part of our growth, we are seeking a hands-on, detail-oriented, client-facing professional with clinical trial billing expertise to join Vitalief’s Clinical Research Budgeting and Billing Outsourcing Services Team. This role directly supports Vitalief’s Academic Medical Center (AMC) and health system clients with clinical research revenue cycle operations, including research billing, charge review, payment reconciliation, billing issue resolution, compliance monitoring, and financial reporting. The Analyst collaborates with Clinical Trial Finance, Revenue Cycle, Research Operations, study teams, investigators, IRB, and other stakeholders to resolve billing issues, improve processes, and ensure accurate, compliant research revenue cycle operations.

  • Salary Range: $75,000 to $110,000 – Based on experience level.

Responsibilities
  • Perform daily clinical research billing, charge review, reconciliation, payment processing, and issue resolution.
  • Review research charges against study budgets, clinical trial agreements, coverage requirements, and institutional policies.
  • Conduct patient, study, and device billing audits and quality assurance reviews.
  • Validate research billing data across Epic, CTMS, IRB, and financial systems.
  • Support compliance with Medicare's Clinical Trial Policy (NCD 310.1) and applicable regulatory requirements.
  • Investigate and resolve billing, coding, reconciliation, and workflow discrepancies.
  • Generate and analyze Epic, CTMS, and financial reports to monitor billing activity and performance.
  • Prepare billing documentation, financial reports, reconciliations, and supporting analyses.
  • Develop and maintain research billing policies, SOPs, workflows, and training materials.
  • Monitor regulatory and Medicare updates and communicate changes to relevant stakeholders.
  • Collaborate with Research, Finance, Revenue Cycle, Coding, IRB, and study teams to resolve issues and improve processes.
  • Support billing audits, training, process improvement initiatives, and other research revenue cycle projects.

Qualifications
  • Bachelor's degree in Finance, Accounting, Business Administration, Health Information Management, Healthcare Administration, Clinical Research, or related field.
  • 2 to 4 years of experience in clinical research billing, healthcare revenue cycle, research financial operations, or health system operations.
  • Experience in an academic medical center or health system preferred.
  • Experience with Epic research billing and a clinical trial management system such as OnCore, Veeva Vault, Clinical Conductor, etc.
  • Knowledge of Medicare Clinical Trial Policy (NCD 310.1) and clinical research billing compliance requirements.
  • Knowledge of CPT, HCPCS, ICD, modifiers, coding, and healthcare billing practices.
  • Understanding of clinical trial budgets, coverage requirements, agreements, revenue recognition, and research billing processes.
  • Experience with billing audits, quality assurance, financial reconciliation, and compliance reviews.
  • Strong analytical, investigative, problem-solving, and Microsoft Excel skills.
  • Ability to generate, interpret, and analyze data from Epic, CTMS, financial, and other institutional systems.
  • Excellent communication, collaboration, organizational, and time-management skills.
  • Ability to work independently and effectively in a primarily remote environment while managing multiple priorities and deadlines.

PHYSICAL DEMANDS: Standing, sitting, walking, visual perception, talking and hearing. Lifting up to 20lbs.  Ability to travel up to 10% domestically.
