Remote | Gastroenterology | Part-Time, 40 hours/week | Rate: $6.5/hour

About the Role

This Gastroenterology practice is looking for a highly organized, patient-focused Bilingual Medical Scheduling & Patient Support Specialist to support its clinics in two locations in Texas.

This role is heavily focused on appointment scheduling and patient communication, with a high daily call volume of approximately 70 to 90 calls per day. The ideal candidate is comfortable working in a fast-paced healthcare environment, managing multiple communication channels, and maintaining accurate patient documentation.

Key Responsibilities

1. Appointment Scheduling

  • Handle approximately 70 to 90 inbound and outbound calls daily related to appointments for the Lewisville and Denton locations.

  • Schedule, reschedule, and cancel patient appointments while ensuring accurate and timely communication with patients.

  • Maintain and update provider schedules in RingCentral and eClinicalWorks (eCW) based on availability and scheduling requirements.

2. Fax Management

  • Send and receive faxes involving patient records, referrals, insurance documents, and other clinical or administrative information.

  • Review incoming fax communications and route documents to the appropriate provider, department, or patient record.

  • Accurately log, upload, and organize faxed documentation within the clinic's systems.

3. Language Interpretation Support

  • Provide occasional language interpretation assistance between patients and clinic staff when needed.

  • Help ensure medical and administrative information is communicated clearly and accurately across language barriers.

  • Maintain professionalism, confidentiality, and accuracy when assisting with patient-provider communication.

4. Outbound Calling

  • Conduct outbound calls for appointment reminders, follow-ups, patient updates, and care coordination.

  • Contact insurance companies, referring providers, pharmacies, or other healthcare offices when necessary.

  • Document call outcomes, follow-up requirements, and relevant information accurately in the patient's record.

5. Patient Text Messaging

  • Send appointment confirmations, reminders, updates, and other approved patient communications through text messaging.

  • Monitor and collect patient responses and escalate questions or concerns to the appropriate clinic team member when needed.

  • Document relevant text conversations and patient responses in RingCentral and eCW to maintain continuity of care.

6. Billing and Payment Reminder Support

  • Contact patients regarding outstanding balances, billing reminders, or upcoming payment obligations as instructed by the clinic.

  • Provide basic payment-related information and direct patients to the appropriate billing resource when additional assistance is required.

Qualifications

  • Previous experience in medical administration, medical virtual assistance, patient scheduling, front desk support, or a similar healthcare role is strongly preferred.

  • Comfortable handling a high-volume call environment, including approximately 70 to 90 calls per day.

  • Experience using eClinicalWorks (eCW) and RingCentral is highly preferred.

  • Strong verbal and written English communication skills with a professional and patient-friendly approach.

  • Strong attention to detail, organization, documentation, and ability to manage multiple tasks throughout the workday.

  • Experience supporting a gastroenterology or specialty medical practice is an advantage.

  • Ability to communicate in an additional language and provide interpretation support is an advantage.
